Job Description

Job Summary:

Assist in the coordination of facilities, safety, and support services for the agency. Provide support for Center for Infrastructure Renewal (CIR) and RELLIS facilities and activities.  Coordinate preventative maintenance as well as manage work orders. Routinely follow up on active work orders for all facilities.  Assist in coordination of remodel and repair activities. Create and maintain plans for remodeling and occupant moves. Assist in coordination of fleet vehicles and mail operations.  Ensure agency fleet vehicles are kept clean and well maintained.  Assist with managing card access system for building access.  Provide professional customer service in all areas of the TTI Facilities, Safety and Support Services program. Provide backup support to other program staff. Interact with multiple customers and official visitors (local, state, national and international). Provide assistance and coordination for special events for the agency. Must be able to promptly respond in person, on site, to after-hours emergency calls for local facilities. Continued employment in this position is contingent upon availability of funding and satisfactory performance.

Essential Duties:

  • Assist with coordination of agency facilities and support services and Building Proctor duties, including after-hours, on-site response. 25%

  • Submit, track, and follow up on active work orders for maintenance at all agency facilities 15%

  • Assist in coordination of facility maintenance and renovations. 10%

  • Preparation of division documents. 10%

  • Assist in coordination of agency operations on RELLIS campus. 5%

  • Routinely check agency fleet vehicles to ensure cleanliness and properly maintained.  5%

  • Maintain accurate maintenance records on agency fleet vehicles.  5%

  • Assist Senior division staff in various duties, as assigned. 5%

  • Assist with coordination of agency furnishings and equipment. 5%

  • Assist with coordination of agency safety services. 5%

  • Coordinate office procedures and provide backup support to other program staff. 5%

  • Support agency compliance initiatives. 2%

  • Other duties as assigned. 3%

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • No prior experience required.

Preferred Qualifications:

  • Experience in facilities coordination

  • One year of related experience in facilities, building maintenance, or facilities construction.

  • Proficient computer skills (Word, Excel, Outlook, PowerPoint).

  • Excellent communication skills (oral and written).

  • Exceptional customer service skills.

  • Ability to multi-task and work cooperatively with others.

Knowledge, Skills and Abilities:

  • Must possess and ensure a valid driver’s license and be able to operate vehicles.

  • Must be able to promptly respond in person, on site, to after-hours emergency calls for local facilities.

  • Ability to perform common office functions

  • Ability to frequently communicate with other individuals within the workplace.

  • Ability to operate a computer and other office productivity machinery.

Physical Requirements:

  • Push/pull large carts and equipment.

  • Carry/transport facility equipment and furnishings in/out and through buildings.
