Description of Work Unit
The Office of Defense Engagement (ODE) is housed in the Office of the Vice President for Research (OVPR). The mission of the ODE is to promote and coordinate research, scholarship and engagement on programs related to defense, national security, and internationalization of opportunities from the CSU campus.  The ODE Executive Director is responsible for building and maintaining Colorado State University’s extramurally funded support of U.S. defense and national security initiatives. These include themes related to national security across sectors including agriculture, climate change, cybersecurity, energy, environment, and health. The ODE Executive Director leads an effort to bring the CSU research community together to contribute more comprehensively to national security related R&D, including growing the research portfolio, providing national security expertise to campus, drafting and executing a strategic plan, identifying challenges, opportunities, and innovative solutions to conducting national security-related research, and positioning CSU as a valued resource and thought leader for Federal and industry defense and security initiatives.
 
The ODE Executive Director reports to the Senior Associate Vice-President for Health Policy and Ethics, and provides leadership and guidance regarding partnerships and cooperative relationships with local, state, Federal, international research institutions, government agencies, and the private sector in areas where CSU shares common interests in defense, security, and international development. The Executive Director partners closely with units on campus that have significant programs related to national security and defense. These include the Executive Director of the Center for Environmental Management of Military Lands (CEMML) to help identify collaborative opportunities that generate pathways to leverage the strengths of CEMML and the CSU research community. The Executive Director works closely with partners on campus seeking international research partnerships with national security relevance. The Executive Director collaborates closely with the ODE Associate Director, campus leadership, faculty, academic units, and business support services to articulate and focus cross-campus strengths and catalyze compelling initiatives in areas of emerging interest for the Department of Defense (DoD), including but not limited to the Defense Threat Reduction Agency (DTRA) and the Defense Advanced Research Projects Agency (DARPA); the Department of Health and Human Services including the Assistant Secretary for Preparedness and Response (ASPR) and the Biomedical Advanced Research and Development Authority (BARDA) as well as relevant entities and institutes of CDC and NIH; Department of Homeland Security (DHS); the Intelligence Community (IC); and other relevant government agencies and industry partners addressing national security interests.
 
The Executive Director plays a leadership role in advancing proposals for extramural funding to advance national security and defense-related research, identifies funding opportunities for CSU faculty and scientists, and facilitates pursuit of funding opportunities for individuals or teams of CSU scientists. The Executive Director works with deans, department chairs, faculty, and administration, including research development, compliance, sponsored programs, university counsel, industry partners, and government relations, to identify resources needed to build infrastructure and business operations enabling increased national security-related research.

Position Summary
The Executive Assistant reports to the Executive Director of the Office of Defense Engagement (ODE) at Colorado State University and supports the members of the ODE leadership team, with a focus on the ODE Executive Director and ODE Assistant Director. The Executive Assistant provides guidance and leadership to the overall operational oversight of the Office of Defense Engagement and is the coordinating focal point for all aspects of work related to and in support of ODE leadership. Communication and outreach activities of this position include work with campus groups and organizations to include administrators, academic leaders, and strategic partners throughout the university as well as national and international stakeholders, federal agencies, industry, foundations, and other universities. The position identifies and prioritizes scheduling needs and issues, strategic office activities and serves as the principal executive administrative contact for the ODE organization. This position manages the calendar and travel of the ODE Executive Director and Assistant Director’s calendar, along with planning, setup, and execution of ODE-hosted meetings and visits.

Position Minimum Qualifications
  • Bachelor’s degree and at least 3 years of increasingly responsible experience in an executive level administrative support capacity 
  • Experience working with MS Office Suite with emphasis on Outlook, Word, PowerPoint, Excel and Teams 
  • Experience working in a position where strict confidentiality is required
Preferred Qualifications
  • Bachelor’s degree in Communications, Hospitality, Liberal Arts, or a science related field 
  • 5 years of increasingly responsible relevant experience
  • Supervisory experience
  • Experience in a university setting
  • Demonstrated experience in high profile event/meeting management oversight
  • Project management experience
  • Demonstrated experience using financial, travel, HR, and other computing systems such as Kuali Financial Systems, Talent Management System, Research Data Center, Oracle, and Travel and Expense Management as well as electronic/virtual meeting software (e.g. Zoom, Blue Jeans, etc.) and other electronic platforms (e.g. OneDrive file management)
  • Proven ability to foster collaboration across diverse groups to meet organizational objectives
  • Excellent communication and interpersonal skills
  • Ability to work effectively at all levels of an organization both independently and as a team member
  • Strong organizational skills with demonstrated success coordinating multiple projects with attention to detail
