Definition of Class

This position serves as the first point of contact for clients in regards to reserving meeting space for conferences, workshops, or other related events. The incumbent assists with the daily operational and administrative responsibilities of event planning; collaborates with the staff to coordinate event space reservations; conducts on-site facility tours; coordinates the billing process for events.


Examples of Work Performed
  •  Experienced in managing day-to-day office operations and fiscal affairs related to event planning.
  • Coordinates event space reservations including but not limited to managing multiple calendars.
  • Responds to questions from clients and conducts on-site facility tours.
  • Coordinates the billing process for events.
  • Possess excellent customer service skills as well as demonstrated oral and written communication skills is required for this position.
  • Responds to general inquiries regarding facilities, available services, and special requests.
  • Communicates and negotiates contractual rates with clients.
  • Corresponds with clients to gather information and details for events.
  • Communicates event space availability to clients depending on the type of event, number of attendees, or other factors.
  • Assists with set up and oversight of events.
  • Represents the unit, department, or college around campus through orientation and other sales opportunities.
  • Generates invoices for space rental, food and beverage services, audio and visual, and other event related expenses.
  • Requests and issues parking permits for event attendees.
  • Processes payments for events.
  • Maintains files, contracts, and calendars for events.
  • Performs similar or related duties as assigned or required.

Essential Functions

  • Minimum Education/Experience

    Education:
    Associate’s Degree from an accredited two-year college or university.
    AND
    Experience:
    One (1) year of experience related to the above described duties.
    Substitution Statement:
    Related experience may be substituted for education, on a basis set forth and approved by the Department
    of Human Resources.
