Position Summary
The Enrollment Student Assistant will provide assistance to the Academic Success and Student Affairs area of the School of Rehabilitation Sciences (SRS). Areas of support will include admissions, applicant/student programming and special events, registration of classes, record management, and general administrative tasks. The Enrollment Student Assistant reports to the Assistant Dean of Academic Success and Student Affairs.
This position is housed at the School of Rehabilitation Sciences which is located at 9160 Guilbeau, San Antonio, TX 78250.
Essential Functions
  • Answer general questions related to academic programs housed within the SRS and related admissions requirements.
  • Monitor Centralized Application Services for admissions status and associated documents, CashNet for receipt of matriculation fees, and admissions inbox(es) for daily correspondence.
  • Process incoming students in Banner.
  • Log receipt of and maintain admissions documents to include official transcripts.
  • Assist with planning of interview days, open houses and other related events.
  • Assist with special events to include reserving venues, maintaining RSVP lists, food and supply ordering, set up and clean up for events.
  • Build and maintain records for all students enrolled in SRS to include databases for each cohort, individual folders and subfolders for each new student, email distribution lists.
  • Update contact information and educational records as needed.
  • Assist with registration of students and other banner functions such as the assignment of advisors.
  • Review grades and prepare Dean’s List letters or Academic Probation letters utilizing templates.
  • Update the SRS website. Post on social media as needed.
  • Perform other related duties as assigned.

Knowledge Skills and Abilities
  • Excellent interpersonal, verbal, and written communication skills.
  • Proficiency in multi-tasking with excellent follow-through.
  • Self-motivated; strong assessment and problem-solving skills.
  • Computer skills: Microsoft Office, Data Management Systems, CRMs.
  • Ability to learn/use Teams, and other remote communication technologies.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, the NCAA, accreditation standards and all associated laws.
Required Education
Must be currently enrolled as a student at UIW.
Required Work Experience
One (1) year of work experience in an office setting required.
Preferred Qualifications
  • Experience with admissions, special events and/or records maintenance.
  • Experience with Recruit, Banner, and Centralized Application Services (CAS).

None.
Work Hours
Approximately 10-15 hours per week within normal business hours Mon-Fri 8 am to 5 pm that flex based on demand, with some weeknights and weekends to meet departmental goals.
Physical Demands
  • Ability to utilize a computer with or without accommodation.
  • Ability to carry/lift up to 25 lbs.
  • Ability to push/pull carts with supplies.
