Description of Work Unit
Colorado State University is a large research, land-grant institution and employs over 7,000 faculty, exempt and non-exempt professionals, and classified staff. The University’s Human Resources Department is responsible for a broad range of activities including, but not limited to: all employee benefits; payroll; compensation; HR service center; recruitment, selection and classification for State Classified employees as well as general oversight of the State Personnel System within the University; employee relations; personnel policy interpretation; employee records and personnel action processing; and the human resource management information systems (HRIS).

Position Summary
This position supports the day to day accuracy and integrity of the University’s electronic records for employees within the primary HR management system, by updating, maintaining, and archiving records, in accordance with University rules and external regulatory laws.
The HR Records/Background Check Assistant supports the paraprofessional/technical human resource services for University faculty and staff in the areas of HR management system administration, employee record administration, materials generation; interpretation and application of Colorado State University, State of Colorado, and Federal rules, regulations, and policies as they apply to personnel records and background checks. Records administration duties are driven by data management requirements through the Human Resource Oracle and third-party vendor systems, which requires knowledge of systems and support activities associated with the systems.
Position Minimum Qualifications
Two years of experience supporting human resources by utilizing information systems to enter, verify, track, and/or approve personnel actions while ensuring record-keeping compliance.
Preferred Qualifications
Experience with a HRIS database, preferably Oracle. One year of experience working with background checks and experience working with Applicant Tracking Systems.

• Administer employee personnel records by: Assessing employee actions submitted by University departments for applicable Colorado State University, State of Colorado, and Federal policy and procedure compliance; modifying and authorizing employee actions; updating employee records in the HR management system; establishing permanent employment records; integrating appointment changes into permanent employment records; reviewing documents for completion; determining record accessibility.
• Investigate discrepancies in benefit eligibility, determine course of action for resolution, and notify appropriate contact.

• Interpret and explain Colorado State University policies and procedures relating to employee appointment actions, I-9 compliance, retirement program regulations, benefit program regulations to all University departments, and advise on HR Records processes.

• Assess leave accruals and usage specific to employee classification to ensure adherence to policies and procedures.
• Process required manual leave adjustments in Oracle for each error instance. Verify leave records, troubleshoot leave error reports and provide direction to departments for correction of leave balances within Oracle.
• Provide guidance, troubleshooting, and advice on leave and leave audit processes.
• Collaborate with HR Records Manager on Oracle system problems and programming issues.
