The purpose of this position is to provide operational oversight and management of the ACGME Plastic Surgery Residency, the Craniofacial Plastic Surgery Fellowship Program at Harborview Medical Center (HMC) and Seattle Children’s Hospital (SCH) as well as provide operational support to the Plastic Surgery Division at Harborview Medical Center. This Program Specialist oversees operations, maintains flexibility, and manages these responsibilities successfully within the constraints of different organizational structures. A high degree of customer service orientation is necessary; the candidate must possess alacrity to understand complex situations and work within parameters not wholly under his/her control.

Management of Plastic Surgery Education Programs (Residency & Fellowships) = 50%
This position will allocate 50% effort to the management of Plastic Surgery Education Programs (Residency and Fellowship). This position is one of two FTEs in the Education Division allocated to Plastic Surgery Education Programs, per the Research Residency Council (RRC) requirements for Plastic Surgery. The Program Specialist will work in partnership with the Program Administrator for the Plastic Surgery Residency and the Program Director for Plastic Surgery and the Program Director for Craniofacial Surgery at SCH. This position manages selected portions of the Plastic Surgery Residency, specifically all junior level residents (PGY1-3). This position consults, liaises and oversees management of the non-accredited fellowship positions at Seattle Children’s Hospital (SCH).

Management of Plastic Surgery Operations at Harborview Medical Center = 50%
Under the general guidance of the Division Chief and Division Administrator, the individual in this position manages selected divisional operational  duties, including management of Divisional HR functions (faculty hiring processes, orientation processes and evaluation processes); management of faculty and staff and other related meetings (developing agendas, generating and producing information for the meetings, providing follow-up activity); and management of Divisional logistics: reviewing and producing options for  purchasing and maintenance of selected equipment,  approving purchases up to specified amount and managing  inventory process.

This position has many matrixed relationships with program directors and program administrator for plastic surgery but reports directly to the Administrator for the Education and Plastic Surgery Divisions.

POSITION COMPLEXITIES:
The Program Specialist must have a great deal of initiative, a strong knowledge of the educational programs and requirements and must be comfortable acting independently to achieve program goals.  Success in this position is when the program runs smoothly in all its cyclical activities and ACGME/non-ACGME program requirements are achieved or surpassed. The specialist works to ensure a rich learning environment, one in which Residents and Fellows feel their training has been effective, efficient, and pleasant. The Program Specialist carries out the operational duties of the program completely and competently, alleviating the Program Directors and Associate Directors of this work. The Program Specialist’s role is pivotal in achieving these goals.

Regarding Plastic Surgery Divisional management, the individual in this position efficiently, accurately smoothly, confidently and competently manages the work of the Division Chief’s office, including complex time and schedule management, managing information flow to and from office, including independently assessing, generating and producing information as necessary; knowing, anticipating, understanding and responding to the priorities of the office, and managing the various relationships within and outside the Division, Department, University and nationally.
