Occupational Summary

Provide strategic assistance to the museum Director in developing budgets and financial procedures. Direct and manage the operational functions of the Nasher Museum including finance, human resources, facilities and space planning, and museum security.

Work Performed

With museum director, plan museum’s operational budget by analyzing exhibition and program needs, projected revenue and expenses.

Provide long-range projections and strategic planning information as needed.

Prepare periodic financial reports and analyses for the museum Director, the University, Board of Advisors, and Friends of the Museum Board. 

Analyze business processes and implement best practices.  Regularly review and update museum policies and procedures to ensure strong internal controls.

Oversee reconciliation of expenses and fee and cash management.  Oversee reconciliation of procurement card transactions.  Ensure that transactions comply with University policies and procedures.

In consultation with the museum Director, determine fiscal requirements, make projections and prepare budgets for building and capital projects.

Supervise and coordinate the work of the Department Business Manager, HR Manager, Facilities Manager. Provide on-site supervision of the manager of cultural property protection.

Advice the Director on employment related policies and practices. Manage personnel actions to ensure compliance with University policies on equal pay, employment, training and wage administration. Establish and communicate the museum’s internal HR and payroll policies to all hiring managers.

Ensure that all University payroll procedures and requirements are met to assure timely payment for all museum employees.

In conjunction with the museum’s internal HR manager, develop and manage employee resources and programs for the museum, including training opportunities, award programs, special events and other initiatives as needed.

Recommend various personnel actions including hiring, performance appraisal, promotions, transfers and vacation schedules.

Oversee the museum’s property management and accountability. Maintain effective interface with University officials working with building, maintenance, and facility issues.

Manage the purchasing and maintenance activities of the museum property.

Ensure adequate security presence on museum property for exhibitions, rentals and special events.  Ensure that security personnel are trained in the latest security procedures for cultural property protection.

Maintain communication with Duke Police to ensure compliance with Duke’s security policies and procedures.

Represent the Director in meetings and events of an administrative nature as needed.

Perform other related duties incidental to the work described herein.

EDUCATION / TRAINING

Work requires a master’s degree in a related field or equivalent work experience in a related field.

EXPERIENCE

Work requires a minimum of six years experience in an administrative and/or business setting to become familiar with programs and activities involved in operational budgets, organizational management, and museum business matters. Demonstrated experience and ability to manage both people and projects. Background in a museum setting preferred.

OR AN EQUIVALEN COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

SKILLS

Excellent communication skills required. Demonstrated ability with financial and HR systems. Knowledge of SAP financial systems and standard museum financial reporting preferred. Ability to explain financial systems to non-financial persons, especially to members of the museum’s Board of Advisors and to new hires joining the museum staff.
