Job Description

The Sandra Day O'Connor College of Law seeks a highly motivated, detail-oriented individual for the position of Department Human Resources Specialist. The successful candidate will work with the ASU Law Human Resources team all daily functions, including but not limited to timecard and payroll management, student and staff recruitment, maintaining personnel files, and other challenging administrative HR functions. The Department Human Resources Specialist will report to the Department Human Resources Manager at ASU Law.

Salary Range

$50,000 - $56,000 per year; DOE


Essential Duties

The successful candidate will be responsible for and have duties in the following areas:

  • Assists with Adjunct and Faculty Associate processes. 
  • Works closely with college administration and central OHR to ensure established university staff and academic personnel policies and procedures are adhered to.
  • Consults with staff and others to provide problem-solving assistance and guidance as it pertains to academic personnel processes; ensures appropriate approvals and processes are followed.
  • Participates in meetings and conferences pertinent to area of responsibility.
  • Coordinates academic personnel processes, ensures appropriate approvals are obtained, and maintains academic personnel files consistent with University policies and practices.
  • Assists with academic personnel data reports as assigned.
  • Acts as contact for academic personnel process and policies for un-paid affiliated academic positions (ie. adjunct, visiting scholars, volunteer faculty and students, and internal faculty affiliations), outside consulting disclosures, out of state notifications, college directory updates, and other academic personnel processes and policies as assigned. 
  • Performs administrative/clerical function to assist the Human Resources team to ensure efficient operations of the department and provide superior customer service to all faculty, staff, students and guests of ASU Law.
  • Assists with confidential and highly sensitive personnel matters and projects. 
  • Assists in the maintaining all personnel files.
  • Assists in preparation for and response to financial, payroll and human resources audits.
  • Assists with position accounting and maintenance of accurate funding sources.
  • Cross-trains to be back-up for payroll, student worker and staff recruitments, tracking, and reporting.
  • Physical presence at the workplace or the College is an essential function or requirement of this job.
  • Performing other duties as assigned to support the goals of the department.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND two (2) years of related experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Evidence of effective communication and interpersonal skills at all levels.
  • Experience in developing and maintaining cooperative working relationships with others
  • Experience in ASU HR processes and policies.
  • Experience using Workday, PeopleSoft and Infinite BrassRing or other recruitment software
  • Experience working in a fast paced, high volume office with constant deadlines and changing priorities
  • Experience working in a higher education environment. 
  • Experience working with confidential information
  • Experience in work that requires attention to detail and critical thinking skills

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%).  Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (5%).  Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.  Ability to clearly communicate to perform essential functions.; Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.; Supervises designated employees that include hiring, training, evaluations, disciplinary actions and scheduling.  This position reports to the department administrator.
