Position Summary/Purpose of Position:
The Dean’s Assistant coordinates the administrative functions for the Dean’s Office in the School of Architecture, Planning and Preservation and ensures the smooth operation of the office. The position reports and provides executive level support to the Dean, to include maintaining the Dean’s calendar, coordinating speaking engagements and travel arrangements, and assisting with correspondences. In addition, the position coordinates the administrative activities for the Associate Deans and the Chief Development Officer and is responsible for communications from the Dean’s Office. The position also coordinates the faculty appointment and promotion process for tenure and professional faculty and manages tenure faculty searches. The position includes the following administrative duties: using purchasing and travel cards, maintaining and assigning parking codes, and serving as backup for building security.

Minimum Qualifications:
Education:
  • Bachelor’s degree or equivalent combination of education and experience.

Experience:
  • Three years experience in an administrative support capacity in a fast-paced environment.


Knowledge, Skills, and Abilities:

  • Excellent interpersonal, oral, and written communication skills and demonstrated commitment to exceptional customer service
  • Exceptional organizational skills and proven ability to independently manage multiple competing priorities and adhere to deadlines while exercising sound judgment and discretion
  • Excellent analytical and creative problem-solving skills and exceptional attention to detail and accuracy
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint), Google Suite (Calendar, Doc, Sheet, Meet), Zoom, Adobe Acrobat
Preferences:
Preferences:
  • 2 years of administrative experience in a higher education setting
  • Familiarity with UMD administrative systems, policies, and procedures
  • Experience with UMD’s Appointment, Promotion and Tenure (APT) and Appointment, Evaluation, and Promotion (AEP) guidelines and processes
  • Experience with UMD Purchasing Card and Travel Card and knowledge of UMD’s business and travel policies and procedures
