Position Summary/Purpose of Position:
Responsible for the day-to-day operations of the ECE Undergraduate Office’s front desk. Serves as the first point of contact for students, faculty and staff in the Department and is responsible for managing the ECE Undergraduate Office email account. Assists ECE Undergraduate Office Director with course scheduling and data input. Provides administrative oversight to the Academy of Machine Learning, Computer Engineering Minor, and ECE Honors Program; this includes working with prospective minor students, and conducting citation and minor clearances for graduating students in each program. Coordinates the hiring process for the Undergraduate Teaching Fellows, and coordinates textbook orders for the Department. Oversees the application process for ENEE499/488 Research Project/Independent Study program. Manages the ECE Peer Mentor Program. Administers other special programs as needed.

Minimum Qualifications:
Education:
  • Bachelor’s degree or equivalent combination of experience required.

Experience:
  • Two (2) years of administrative experience.

Knowledge, Skills & Abilities:
  • Excellent organizational skills and attention to detail; excellent customer service skills.
  • Ability to work in a fast-paced, multi-tasked environment, be able to prioritize tasks, think proactively, and work independently, using good judgment and experience to make decisions.
  • Demonstrated excellence in oral and written communications.
  • Experience in administrative planning and scheduling.
  • Ability to use Microsoft Office products, including Word, Excel, and PowerPoint.
  • Ability to understand and interpret University policy in the areas of academic administration and course scheduling.
Preferences:
Preferences:
  • Prior administrative experience in an academic setting.
  • Prior experience in student services, preferably working with undergraduate student populations.
  • Prior experience in course scheduling.
  • Proven working knowledge of University of Maryland student information systems (i.e. SIS, Advise on the Web, uAchieve, etc.).
  • Knowledge of Adobe Acrobat Pro, and ability to use spreadsheet software to compile and analyze statistics.

Physical Demands
  • Mostly sedentary work performed in an office environment requiring the ability to operate standard office equipment and keyboards for extended times.
  • Ability to review, prepare, and analyze data and figures, transcribe, and engage extensive reading of materials and computer screens.
  • Ability to traverse short/long distances on and off campus to attend meetings and events.
  • Position requires involvement in the set-up, break-down and staging at meetings and special events.
  • Availability to work non-traditional hours and weekends, as necessary.
