Summary

The Coordinator, Program Management will provide administrative and programmatic support within the Office of Student Affairs. The coordinator will provide direct support to student visitors, collaborate with campus partners and external vendors on event logistics, coordinate related business expenditures, assist with organizing event details, and provide support to student organizations and honor societies. The coordinator will also closely monitor project progress, communicate with stakeholders, and provide administrative support to ensure the smooth operation of programs and services. A successful candidate will have the ability to maintain positive working relationships with faculty, students, peers, and learners. Must be a self-motivated, self-initiator who is organized, detail oriented, and able to multitask. In addition, they will demonstrate excellent networking, relationship, and conversational skills. 
 


Job Duties

Administrative 

  • Provides dedicated Student Affairs front desk/reception area presence and provide support to visiting students and office team. Answers and routes incoming calls, coordinator mail, and works with Senior Academic Services Associate with monitoring and routing the Student Affairs email account. 
  • Coordinates with all internal departments and facilities on campus and external vendors and facilities regarding activities and event space, supplies/equipment, and catering needs.
  • Works with Senior Coordinator, Business Operations on purchase tracking, contract support, expenditures balances, report funding balances and needs, and maintain compliance.
  • Assists with reimbursements, check requests, purchase orders, travel, etc. for assigned programs/services.
  • Maintains a process of managing all student organization deposits from fundraisers, honor society memberships, etc.
  • Assists with student reimbursements for student organizations, events, and general purchases as needed.
  • Provides admin support to Sr. Manager, Deans, and Director which includes but not limited to drafting reports, and presentations, comms, Deans Hours, and scheduling appt/setting up meetings, and travel. 

 
Programming/Advising 

  • Partners with the Senior Manager in the coordination of all Student Affairs office events (Orientation, Family Day, White Coat Ceremony, Match Day, etc.) using the event planning cycle.
  • Acts as a resource to student leaders and student organizations regarding programming. Development and maintain trainings for these group to cover the full event planning cycle and policies and procedures.
  • Leads programmatic and administrative support to the Alpha Omega Alpha and Gold Humanism Honor Society Honor Societies. Support includes advisor support, selection process, selection committee support, communications, collaborate with organization HQ, and assist with induction ceremony planning.

Assessment 

  • Assists in assessing the success of assigned programs and services. Maintain assessment results for reporting to Senior Manager and ensure program/student learning outcomes align with Office of Student Affairs mission and the School of Medicine priorities.
  • Uses assessment data collected to recommend changes to program/service design and methods. 

Office Support 

  • Provides administrative and logistical support to all Student Affairs office events (Orientation, Family Day, White Coat Ceremony, Match Day, Graduation, etc.) 
  • Assigns and facilitates training for cross coverage among staff.

Minimum Qualifications
  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications
  • Bachelors degree in Education or related field.
  • Experience working in a college or university setting.
  • Experience working with student groups/organizations.
  • Experience working at a medical school.
