The Health Care Initiative (HCI) is part of the Initiatives department. Position Description

The Coordinator is a vital member of the HCI team who supports the Initiative’s core activities and works closely with all members of the HCI team. Areas of focus include the implementation of life sciences programs and activities, including the Blavatnik Fellowship program, HCI social media communications, and as well as working collaboratively with other administrative departments to leverage HBS resources. The ideal candidate will excel in a dynamic community that values and pursues equity, excellence, and collaboration in our work. Major areas of responsibility include:

  • Support and/or lead the administration of components of the Blavatnik Fellowship program. Activities will include oversight of logistics associated with the admissions, orientation and on-boarding fellows; on-going fellowship-related events and reunions; program marketing and outreach; and collaboration with partners.
  • Advance HCI social media efforts, including coordination and implementation of social media campaigns and exploration of other avenues for outreach.
  • Contribute to HCI event planning for meetings, faculty seminars, advisory board meetings, regional alumni events, industry conference-based events, and student events (both online and in person). Activities may include room scheduling, catering logistics, media and technology services, vendor management, and publicity and marketing. Where appropriate, memorialize event content by preparing minutes, event debriefs, social media posts, or drafting news stories, in collaboration with HCI team.
  • Support HCI and Blavatnik fellowship data management in Salesforce. Work with the Initiatives Core team to manage and maintain alumni and external contacts, organization information, the publications database, as well as generate and run reports.
  • Assist in maintaining various HCI web pages with comprehensive department/program news and information;
  • Serve as first-line contact for people interested in connecting with HCI, responding to phone, email, and walk-in inquiries.
  • Provide general administrative coordination, including maintaining departmental records, managing department mailings, scheduling meetings with team/faculty, processing invoices, and reimbursements, etc.
  • Take on specific projects based on HCI’s evolving needs.
  • Be responsible for other duties as assigned.

Basic Qualifications

  • High School Diploma, GED, or equivalent is required.
  • 5+ years of experience in administrative support role(s) and/or related experience is required.
  • Education beyond high school may count toward experience.
  • A high level of proficiency in using technology to support complex administrative functions through Salesforce, Microsoft Office (Word, Excel, PowerPoint, and Outlook), mail merges, databases, social media, and web management is required.

Additional Qualifications and Skills

  • This position requires a self-starter with excellent project management, communication (both written and oral), and interpersonal skills.
  • The candidate should have strong professional judgement; know when to ask questions, and when to take the initiative.
  • The ideal candidate is proactive and possesses the confidence to work independently, the integrity to handle confidential information with discretion, the ability to function as part of a team, and the skill to coordinate with multiple constituencies in a dynamic work environment.
  • Strong problem-solving skills, attention to detail, and customer service skills are essential.
  • Ability to manage time effectively, set appropriate priorities, take ownership of projects, and follow through on a consistent basis.
  • Preference for candidates with an interest in health care.

Additional Information

This is a 35-hour/week, overtime-eligible position.

This position is approved for a 2-year term which begins on the person's first day of employment.

This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA based campus 3 days per week. Specific days and schedule will be determined between you and your manager.
