Job Description

The ASU Office of American Initiatives (OAII) is seeking a Coordinator. Under general supervision, this position will perform complex administrative duties of a responsible, sensitive, and confidential nature requiring considerable independence in support of the ASU Office of American Indian Initiatives and it’s Vice President and extended team and to assist in daily office operations.

$55,000-$65,000 per year; DOE


Essential Duties

  • Coordinate and manage projects of varying levels of complexity, from inception to completion, within the ASU Office of University Affairs under the direction of the Vice President and Special Advisor to the President on American Indian Affairs and in collaboration with the OAII Research Analyst.  
  • Perform independent research, solve problems, think critically, and support with OAII activities.  
  • Manage/assist in calendar management for the Vice President and back-up team support, as needed.  
  • Work closely with other university offices in coordinating the executive's involvement in university events. 
  • Coordinate and arrange travel, as needed.  
  • Compile, prepare, and maintain background material related to upcoming meetings, events and travel; coordinates and tracks follow-up. 
  • Independently compose correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved. 
  • Provide word processing, note taking and processing of correspondence and e-mail. 
  • Schedule and may attend meetings and conferences. 
  • Liaise with our ASU departments if/as needed.  
  • Provide back-up to other administrative staff in University Affairs.
  • Assist with daily office operations, which may include special requests, reserving and maintaining conference rooms, meeting set-up, transporting executives to meetings via golf-cart or other transportation, etc. 
  • Assist in coordinating events, including arranging equipment and catering; sending invitations and managing RSVPs. 
  • Act as implementer, ambassador, and liaison to help accelerate and amplify the work of the ASU Office of American Indian Initiatives through the Vice President and Research Analyst to fulfill the mission and vision of ASU.  
  • Answers phones, greets visitors, and directs questions to appropriate offices for resolution, if/as needed.  
  • Other duties as assigned.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Evidence of effective communication, with an emphasis on accuracy and detail.
  • Experience in working on American Indian policy and/or with American Indian/Alaska Native tribal governments and/or communities.
  • Experience working with tribal government offices and related entities.
  • Demonstrated working knowledge of diverse Indigenous languages and cultures.
  • Demonstrated knowledge of the customs, cultures, and sovereign status to tribal nations and communities. 
  • Advanced communication skills to help innovate and proactively solve problems and present information to the Vice President to critically evaluate solutions.  
  • Demonstrated knowledge of University policies and procedures. 
  • Experience in a wide variety of organizational and administrative functions including calendaring, scheduling, word processing, etc. 
  • Capacity to adapt new technologies and cloud services (such as Dropbox, Google Suite, Concur) to facilitate core responsibilities of the role. 
  • Experience in dealing with a wide range of topics, including confidential and sensitive information. 
  • Experience in tactfulness and diplomacy and in maintaining effective working relationships. 
  • Experience in analyzing issues and developing appropriate solutions. 
  • Experience in establishing and maintaining effective interpersonal relationships with tribal leaders, staff, community members, Indigenous students, and other stakeholders. 
  • Evidence of effective communication, particularly with diverse cultural norms. 
  • Experience in working collaboratively in complex organization. 
  • Experience in preparing and presenting information in a clear and concise manner. 
  • Experience in organization and time management. 
  • Experience in judgment and ability to function and multi-task under pressure. 
  • Experience in interact with internal and external customers. 
  • Experience in applying analytical, sound decision making and independent judgment. 
  • Ability to maintain strict confidentiality of sensitive materials, activities, and initiatives.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions
