Position Overview

The Business School has been experiencing strong growth in its undergraduate programs and has added new programs and initiatives to retain and add value to their degrees.  Some of these programs include  the Insurance, Professional Selling, and Entrepreneurship programs. As such, the newly created position of Certificate Program Specialist has been added to the school’s program support staff. Individuals with strong administrative, customer service, and/or event management skills are encouraged to apply and join our team.

The Certificate Program Specialist is responsible for facilitating certificate related events, coordinating the selection and procurement of certification resources, and providing general administrative support for faculty and students related to the School’s certificate programs.  The Certification Program Specialist serves as a vital member of the School’s staff and a resource to ensure that all certificates offered by the School deliver a high quality experience and add value to the professional development of students. This position will interact with a diverse group of people (faculty, staff, students, external sponsors, donors) across multiple academic disciplines.  Due to events, some evenings and weekends may be required.

This is a full-time, twelve-month, benefits-eligible, regular appointment.  Currently, the position is designated as on-campus.  Alternative and flexible work schedules will be evaluated as per KU policy and School guidelines.  Pay and benefits are competitive.

Job Description

45% Certificate event support:  Coordinate and facilitate special events related to certification opportunities and assure that high quality, value-added, special events are distributed strategically throughout the year. Duties include but are not limited to:

  • with program faculty, develop a portfolio and calendar for routine certificate-related events, including an annual sales competition in the Professional Selling Program
  • in close coordination with the School’s Director of Events, assure certification events are properly planned, recognized within the School’s events and communications process, and assure that all aspects of events are executed in a timely manner including post event-follow up
  • in close coordination with Professionalism Program staff, assure that certification events/opportunities are integrated into the Professionalism e-Platform, as appropriate
  • communicate and coordinate with certification partners to assure they are appropriately involved in events
  • maximize outreach by collaborating appropriately with other departments/agencies within the School, across the University and within the community/region
  • coordinate, train, mentor, support, and motivate student assistants and/or volunteers, and provide proper recognition

45% Certificate administrative and academic program support:

 Provide administrative support to faculty, staff, guests, sponsors, etc. directly related to certificate programs and processes.  Collaborate and coordinate with others where appropriate.  Duties include but are not limited to:   

  • handle daily communications from faculty, staff, students, partners, vendors, etc. regarding certificate programs, addressing needs or routing appropriately in a timely manner
  • aid faculty and staff in tracking student progress through various certificate programs and processes, including e-Platform
  • maintain accurate and timely records and data related to certificates awarded, progress through various programs and detailed program metrics (e.g., dates of completion, rosters of students, scores where appropriate)
  • prepare reports for partners and leadership as directed
  • coordinate the selection and procurement of certification resources (e.g. training opportunities, materials, sites)
  • keep certification provider contracts, agreements, renewals, etc. current, including coordinating any fee payments
  • with direction from faculty, School leadership, and/or KUEA Development Director, provide administrative support to the partnerships for the various certifications (e.g. scheduling partner meetings, visits, regular communications)
  • with Area administrators and program staff, coordinate budgetary allocations and expenditures related to certificate programs

10% Service and other related duties:
  • with direction from faculty, may assist in the research and selection of certification opportunities that promise value to students and advance the strategic direction of School’s professionalism program
  • complete other certificate program related duties as assigned
  • participate as an active team member of the BSchool staff including attending staff meetings and serving on School or University committees, as directed

Position Requirements

This position is located on-site at the Lawrence, KS campus. 


Required Qualifications

  • Bachelor’s degree in business, communications, public relations, education, or other closely related field.
  • Minimum of 1 year of related professional experience that demonstrates the ability to interact with a variety of constituencies and manage multiple tasks.
  • Communication skills as evidenced by application materials.
  • Word processing skills, ability to maintain spreadsheets, and/or databases, as demonstrated by application materials and interview process.

  • Preferred Qualifications

  • Prior experience in event management and/or facilitating larger scale events.
  • Demonstrated ability to work independently as well as in a team.
  • Experience managing a programmatic budget.
  • Experience working in a collegiate or academic setting.
