The Opportunity

The Department of Psychology is seeking a Business Staff Specialist to manage the business components of the Psychology Clinic in support of expanding health service provision to the Central Florida Region. This position will be in support of the faculty and staff in the Clinical Psychology Ph.D. program to provide direct services, clinical supervision, and grant-funded translational research in a treatment setting.

Responsibilities:

  • Greets patients and visitors, checks patients in according to clinic procedures, and directs visitors to proper meeting locations and appointments.

  • Handles inbound calls and directs callers to proper individuals.

  • Handles incoming emails to clinic account. Provides oversight of work study students. Billing management (e.g., depositing cash payments, reviewing, and reconciling credit card payments, managing online payment system, reviewing payments received against appointments completed).

  • Provides oversight for general day-to-day office operations.

  • Ensures administrative and procedural processes are upheld.

  • Addresses administrative and procedural issues as needed.

  • Assists with training new faculty, staff, and students.

  • Ensures office machines (e.g. phones, printers, copiers, and fax) are in working order and may perform routine troubleshooting, as needed.

  • Facilitates the coordination of patient care by working closely with faculty and contributing to a strong communication system amongst the Clinic Director, reception team, faculty, and patients. Sends patient emails; sends out records requests per clinic policies. Helps maintain a referral list. Electronic Medical Record (EMR) management of all patient records.

  • Maintains clinic files, completes file reviews.

  • Runs and reviews security reports (e.g., access logs, login reports).

  • Works with clinic staff and other university offices on privacy/security matters. Maintains and tracks training certificates (e.g., privacy and security training) and other required clinic documentation.

  • Performs scheduling and payment processing for the clinic.

  • Provides training and guidance for new and current clinic assistants.

  • Tracks access to Clinic systems (e.g., Traka, Milestone, Titanium, encrypted drive, doors).

  • Maintains inventory and orders supplies and assessment materials.

  • Other tasks as assigned.

Minimum Qualifications

High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • Bachelor’s degree.

  • Prefer candidate with the ability to communicate in both English and Spanish in order to work effectively with customers and team members.

  • Previous experience in a healthcare setting.

  • Expertise in use of Microsoft Office Suite and Adobe Acrobat.

  • Organizational and time management skills.

  • Professionalism.
