Job Summary

Energy & Facilities (E&F) operates and manages Harvard’s energy supplies, district energy plants, and utility infrastructures on the Cambridge/Allston campuses, as well as a 24/7 facilities-related call, alarm monitoring, and dispatch center. E&F also provides a broad portfolio of labor-based services, including primary building maintenance, landscape, fire safety, custodial, and event support services to a large portion of the University, as well as engineering and technical services.  All services are provided in strict accordance with regulatory requirements and customer-determined standards, with cost recovery almost exclusively through a fee-for-service model.  E&F provides services through two operating departments, Engineering & Utilities (E&U) and Facilities Maintenance Operations (FMO).  This position provides analytical and related business process support to the Energy & Facilities organization across both of its operating departments. 


Position Description

  • Provides analytical and related business process support to E&F including: 
    • Collaborates with E&F leadership to understand business operations and KPI outcomes. 
    • Operationalizes use of data and data visualization to better inform business decision-making, enable greater efficiency and productivity, and optimize use of resources.   
    • Partners with E&F Leadership to develop, refine, and maintain business reporting and Key Performance Indicators across various business activities (e.g. workforce management, capital projects, asset and work management, etc.).  
    • Performs analyses, presents results, develops and provides regular and ad hoc reports, presents findings and recommendations, and performs other related support functions as needed. Provides insights and partners with E&F Leadership to develop additional reports as needed. Partners with E&F Leadership to provide presented findings, observations, and recommendations. 
    • Engages and collaborates with E&F staff and partner groups (e.g., CS Finance & Administration, Human Resources, Information Technology) to understand systems, data, and reporting that can be leveraged for use in E&F’s KPI monitoring and operational analysis/reporting.  
    • Documents operational analysis activities/processes and maintains them in an organized, standardized, up to date, and accessible manner.  Partners in ownership of document libraries (e.g., Custodial Training Document Library) with E&F Business Units and leads efforts in maintaining and updating them. Conducts and leads meetings, task management and Maintenance Upkeep.

  • Performs other tasks as assigned.  

Basic Qualifications

  • Five (5) years' experience in the following: operations/business analysis with demonstrated advanced ability and experience in data analysis, data visualization, and reporting utilizing metrics/KPIs to enable informed decision-making and continuous improvement.

  • Bachelor's degree in business, finance, or technical discipline.  
  • Experience in collaborative approaches in a matrix-managed environment, and across multiple and diverse groups; practical problem solving and strategic thinking skills; critical thinking and excellent analytical and organizational skills ensuring attention to detail and accuracy. 
  • Demonstrated advanced skills in communication, collaboration, and executive presence.  
  • Demonstrated advanced skills in functional operations/business data analysis, collecting and synthesizing data, data visualization, reporting, and utilizing metrics.   
  • Demonstrated ability to work both collaboratively and independently.  Must be flexible, self-motivated, possess excellent organizational and presentation skills; be able to multitask in a fast-paced environment with ability to adapt; and be able to think and work well independently with minimal supervision and as a member of a team. 
  • Must be an effective problem-solver with the ability to quickly understand complex business needs.  Skilled at being detailed and communicating effectively and articulately in both spoken and written Ability to develop strong relationships with operational teams to become a trusted advisor in driving efficiency. Must act as an influencer within the organization, advocating for data-driven decision-making.  

Technology Skills Required:    

  • Must be highly proficient in the use of data analysis and data visualization tools, including SQL, Excel, and business intelligence tools (e.g., Oracle Analytics Data Visualizer, Tableau, or Power BI).  
  • Must have experience designing and deploying Analytical SQL views. 
  • Demonstrated experience building dashboards for use in operations.  
  • Proficient in the use of Microsoft Office and SharePoint applications.  
  • The ability to learn and quickly become highly proficient with new systems and software is essential. 
  • Experience working with operations transactional databases such as CRM, Asset Management, and ERP systems. 

Physical Requirements

  • Ability to perform repetitive tasks such as data entry along with strong visual acuity required. 
  • Must be able to walk up and down stairs repeatedly and routinely walk between campus buildings and across campus areas.

Working Conditions

Work Format:    This is a hybrid position, with a minimum of three days per week worked on-campus in Cambridge, Massachusetts.  Two days per week may be able to be performed remotely, however business needs at the time will determine this.  Work location is responsive and subject to change based on business needs. 

Emergency Status Designation:   Critical Operations Personnel (required to provide on-site support during emergency situations as determined by management)

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
