What you need to know

  • Due to the nature of the duties for this position, the incumbent in this position will be required to report 100% in office. The position will be located in the Dwight Look Engineering Building on the main Texas A&M University campus in College Station.

  • The salary range for position is $35,500-$45,000. Final salary will be determined based on the applicant's qualifications and experience.

Job Summary

The Texas A&M Transportation Institute (TTI), Construction, Geotechnical and Structures Division and TTI’s Center for Railway Research seeks to hire a full-time Business Coordinator I for the College Station office. The position will be located in the Dwight Look Engineering Building on the main Texas A&M University campus in College Station. This position provides staff, program managers, and division head with support and coordination of a variety of business activities. The Business Coordinator I, under general supervision, provides support and coordination of a variety of business activities requiring independent judgment, including reviewing business documents, and assisting in developing, monitoring, and reporting accounts and budget data as directed by supervisor. Continued employment in this position is contingent upon availability of funding and satisfactory performance.

Essential Duties

  • Prepares, reviews, and approves electronic documents including vouchers and requisitions. Reviews and audits reconciliations of multiple unit accounts. Monitors and reports on unit budget activity. Prepares monthly and annual financial reports for division and center accounts. Provides input to policies and interprets policies and procedures. (20%)

  • Coordinates annual fiscal year closing activities. Coordinates routine fiscal activities. Prepares documents and reports for year-end and new-year start-up activities. Prepares routine purchasing specifications and documents. Proposes solutions to routine financial problems. Implements and coordinates purchasing activities. (10%)

  • Investigates errors on transactions and coordinates appropriate corrective action. Responds to routine inquiries from vendors and other business units or departments.  (5%)

  • Coordinates division and center annual inventory certification process and maintenance of business files. (5%)

  • Coordinates routine personnel activities. Serves as a liaison to financial, payroll, and human resources. Assists new employees in completing payroll, personnel, or other business documents.  (12%)

  • Coordinates and prepares travel requests and reimbursements for division and center staff. Coordinates activities associated with conferences, continuing/ distance education, and communicates travel and other policies. (12%)

  • Coordinates and prepares documents for monthly and bi-weekly payrolls. Ensures payroll correction functions for the division and center are made. Reviews timesheets and leave requests. Maintains and audits personnel files and annual leave/sick records.  (10%)

  • Performs general office tasks, maintains business files, and assists with specialized business projects and activities. Disseminates routine business information to research staff. (10%)

  • Submits tuition payments and non-resident tuition waivers. (4%)

  • Oversees division vehicles including check out process. (4%)

  • Composes division and center business-related correspondence. (2%)

  • Coordinates with Human Resources to update division and center website (2%)

  • May format research reports (varies, 2%)

  • Performs other duties as assigned.  (2%)

Required Education and Experience

  • Bachelor’s degree or equivalent combination of education and experience (HS diploma + 4 YOE)

  • Two years of related experience in general office, bookkeeping, or personnel operations.

  • Knowledge of word processing and spreadsheet applications.

Preferred Qualifications

  • Experience with task management, and with the FAMIS accounting system and other University software systems, and TTI processes.

  • Bachelor’s degree in business administration

Physical Requirements

  • Ability to perform common office functions.

  • Ability to frequently communicate with other individuals within the workplace.

  • Ability to operate a computer and other office productivity machinery.
