Job Description


****This is a seasonal, part-time position.****

The Business Assistant I, under supervision, provides administrative and fiscal support for functions within the Forest Resource Protection Planning and Preparedness Department.


Responsibilities:
-Perform routine business support duties:

1) Coordinate supply orders and make purchases

2) Make travel arrangements

3) Prepare and process travel vouchers, credit card vouchers, bill payment, etc.

4) Maintain appropriate administrative and programmatic records.

-Maintain thorough knowledge of agency policies and procedures and act as liaison for team members and programs to the Finance and Administration Division staff at Agency headquarters.

-Provide support and assistance to local, regional and statewide fire or emergency response efforts.

-Coordinate and review processing of FAMIS transactions, mileage reports, travel vouchers and purchase orders.

-Other duties as assigned.

This is a security-sensitive position.  The individual in this position is required to handle Protected Health Information (PHI) as defined by HIPAA regulations.  The individual is required to handle PHI in accordance with A&M System's policy and is further required to complete HIPAA training as a condition of employment, within a reasonable time-frame after the individual's employment and on an as-needed basis thereafter.


Education and Experience:
Required Education : High school graduate of GED

Preferred Education : Associates Degree or equivalent in business or closely related field.

Required Experience : Minimum 1 year experience in general office and customer service or accounting and customer service.

Preferred Experience : 1+ years experience in general office and customer service or accounting and customer service.


Knowledge, Skills and Abilities:
Required Knowledge : Proficient knowledge in personal computers and Microsoft Office applications (Word, Excel, PowerPoint). Basic knowledge in budgeting, accounting and FAMIS/Canopy. Knowledgeable of TFS operations.

Required Skills : Sound judgement and attention to detail. Strong interpersonal skills.

Preferred Skills : Demonstrated planning and organizational skills.
Required Ability : Work independently. Multi-task and work cooperatively with others.

Registrations, Certifications and Licenses:

Required : Valid Texas Drivers license or ability to acquire one within 30 days of hire.
