Who we are

The Division of Finance and Business Services provides a broad set of financial, analytical, budget, enrollment, and business services to the entire campus. The division aligns personnel and functions to provide customer-focused financial process improvements and standard financial and business processes across campus.  A part of the division, Academic Accounting & Business Services (AABS) has the honor to provide finance and business services to several units on campus including (but not limited to) Academic & Strategic Collaborations, Faculty Affairs, and Office of the Provost. We have over 50 departments within our service base, and we utilize a specialized, pooled team approach to meet the expanding needs of these growing units. The Business Administrator II, under general supervision, is responsible for serving as a Strategic Partner and for managing the full range of business activities, including reviewing and approving business documents, developing, monitoring, and reporting accounts, budgets, and other quantitative data for assigned departments and/or divisions. Supervises a team of 2 to 3 Business Coordinators.

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Six years of related experience in general office, accounting, or personnel operations

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications

  • Interpersonal and communication skills

  • Planning and organizational skills

  • Ability to multitask and work cooperatively with others

Preferred Qualifications:

  • Advanced knowledge of FAMIS/Canopy, AggieBuy, and Concur

  • Working knowledge of Laserfiche and Business Objects

  • Advanced knowledge of TAMU disbursement policies and procurement/contract rules

  • Professional certification in business or accounting

Responsibilities:

Strategic Partner

  • Serves as key contact with assigned departments and/or division to ensure relevant and timely response from AABS to customers’ accounting and budget questions

  • Assists the AABS team in communicating with departments to resolve day-to-day processing challenges/issues that may arise

  • Meets with the department head at least quarterly (often monthly) to discuss end of month financial reports, status of accounts and budgets, and other business-related issues

  • Advises customers on purchasing decisions requiring strong working knowledge of TAMU delegation of authority, procurement rules, and contract review process

  • Assists the department head and AABS Director of Accounting in the development of annual budget documents and fiscal year closing activities

  • Manages/monitors financial transactions, including assigning costs to appropriate accounts and projects and creating/approving costing allocations, approving corrections, and initiating budget transfers

  • Monitors and controls unit expenditures plan within budget guidelines.

  • Maintains strong working knowledge of TAMU Purchasing and Travel Guidelines to ensure transaction compliance

  • Reviews monthly account reconciliations and analyzes transactions to identify and resolve any errors.

  • Maintains department chart of accounts (in FAMIS and Laserfiche) to meet department needs including advising department heads and liaisons on account/budget strategy and makes projections as appropriate

  • May develop complex reports for assigned departments/division as needed

Leadership

  • Supervises a team of Business Coordinators and manages the team’s workload

  • Manages personnel activities including updating position descriptions, hiring, annual evaluations, corrective action plans, etc.

  • Communicates with employees regarding personnel policies and procedures and identifies training needs

  • Maintains solid knowledge of FAMIS/Canopy, Workday, Compass, JitBit, Laserfiche, and other systems used by AABS to assist direct reports with performing daily tasks and responsibilities.

  • May provide training to AABS full time staff and student technicians as needed

  • May oversee/lead a function or serve as a subject matter expert in one or more areas (Scholarships, Financial Aid, College Work Study, Education Abroad, external audits, E-office management, complex grants, and contracts)

  • Participates in the AABS Strategic Partner working group to back-up other Strategic Partners and provides best practices/updates for other team members in order to create a consistent customer experience across all departments served by AABS

  • Assists AABS Executive Director/Directors with planning, evaluating/monitoring/developing internal policies and procedures as needed

Customer Service

  • Provides courteous, efficient, and timely customer service to the units serviced by AABS

  • May assist AABS Director of Accounting with communication and distribution of information on guidelines and procedures pertaining to AABS processes and procedures through the weekly Accounting News Listserv emails or other appropriate channels

  • Manages conflict among team member(s) and/or customers

  • Uses discretion to determine when escalation to AABS Executive Director/Directors is needed

  • Provides one-on-one/group training with AABS customers as requested

  • May present at group training sessions

  • Maintains a broad knowledge/understanding of payroll and human resource issues enough to redirect customers to the appropriate contact as needed
