The Opportunity:

UCF’s Student Success and Well-Being Office of Undergraduate Admissions is seeking an Assistant Director, University Admissions. This position offers an exciting opportunity to play a key role in shaping UCF's recruitment and enrollment strategy by providing prospective students and families with an exceptional introduction to the campus, its people and its world-class programs and services. Reporting to the Manager for Marketing Communications and under the leadership of the Director for Strategic Communications & Visitor Engagement in the Office of Undergraduate Admissions, this role is pivotal in enhancing UCF's recruitment efforts by managing campus tours, organizing on-campus events, and providing exceptional service at the University Welcome Center and the Office of Undergraduate Admissions. The successful candidate will demonstrate a passion for higher education, a commitment to student success, and a creative approach to engaging prospective students and families. This position/classification may be moved at management's discretion within the Division of Student Success and Well-Being to a commensurate level position as determined by the Senior Vice President for Student Success and Well-Being or his/her designee.

Responsibilities:

  • Provides leadership and guidance to staff and students tasked with providing >500 annual campus tours to >50,000 guests each year.

  • Coordinates and schedules campus tours for individual visitors, school groups and community organizations.

  • Creates engaging and informative in-person and virtual campus visit experiences.

  • Works with campus partners to create tour trainings and materials to ensure accuracy and consistency in tour experiences and messaging.

  • Develops information sessions, presentations and marketing assets for prospective students and families both on and off-campus.

  • Manages the visitor engagement team and oversees front-line operations in the Duke Energy UCF Welcome Center and the Office of Undergraduate Admissions, including supervision of the front desk student team.

  • Manages the delivery of exceptional customer service to visitors at the Welcome Center, including prospective students, families, alumni, and community members.

  • Provides triage support to the front desk and on-call counselors, monitors and manages lobby wait times, and serves as escalation manager to answer inquiries and address concerns on a range of topics, including application processing, admission status, departmental and university policies, campus resources, events, and directions.

  • Maintains a welcoming, safe and organized environment at the Welcome Center, ensuring that informational materials and resources are readily available.

  • Plans, organizes, and executes special events designed to attract and yield prospective students, including open houses, admitted student days and targeted tour programs.

  • Collaborates with admissions staff, academic departments, student organizations, and other campus partners to coordinate event logistics, programming, communication, and promotion efforts.

  • Oversees event planning, communication, registration, attendee tracking, and follow-up communications to participants.

  • Creates and distributes electronic marketing and communication collateral, registration forms, databases, and assessment tools for events.

  • Reviews survey responses for events and daily tour activities and makes appropriate recommendations to department leadership.

  • Supervises one Student Admissions Counselor I, one Admission Specialist position and several student employees.

  • Responsible for monitoring productivity and special projects, providing leadership and guidance, time-off approvals, payroll, and budget requests.

  • Maintains accurate enrollment data and provides periodic marketing, communication and engagement reports, comparative tracking analyses and background on emerging trends.

  • Counsels prospective students on the opportunities available at UCF and the admission process.

  • Represents the university at public and private high school and college visits, fairs, decision days, panel presentations and area receptions.

  • Reviews admission applications and academic credentials, computes grade point averages and renders admission decisions in compliance with all university and State of Florida admission standards.

  • Performs other administrative duties as assigned by the Manager – Marketing Communications, Director for Communications and Visitor Engagement or their designee.

Minimum Qualifications:

Bachelor's and 4+ years of relevant experience or Master’s degree and 2+ years of relevant experience with at least 1+ year(s) of leadership experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • Previous experience in admissions, recruitment, event planning, or customer service within a higher education undergraduate setting.

  • Excellent communication and interpersonal skills, with the ability to engage diverse audiences and build relationships with internal and external stakeholders.

  • Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously.

  • Knowledge of admissions processes, enrollment management strategies, large scale event management, and higher education trends.

  • Proficiency in Microsoft Office Suite, Slate, PeopleSoft, WordPress and Workday are a plus.
