The Admissions Specialist III will process and evaluate applications for admission including transcripts, scores and TSI information.  In addition, this person will import electronic applications, enter paper applications, process application fees and correspond via email/phone with students/admission counselors.  This person will also scan admissions documents and download electronic transcripts and be able to be link those documents to the student’s files.

Responsibilities:

Primary Duties:

  • Download and process Texas Common Applications for Salesforce.

  • Process payments from Texas Common Applications (PayPal) and SalesForce (Authorize.net) receipts through Colleague and balance with reports from PayPal and Authorize.net. Reconcile the monthly application fee report from the business office in order to insure there is a $0 balance in the application fee receivable account.

  • Upload documents (High School/Post-Secondary Transcripts, Test scores, Letters of Recommendation, etc.) from Parchment and Clearinghouse into Salesforce.

  • Process applications, transcripts, scores and TSI information for admissions decisions and provide application status information to admission counselors.

  • Processing duplicate files.

  • Train new employees and student workers on processing documents, scanning, imaging, linking, receipting, uploading TX Common Applications, opening mail, and other job functions pertaining to admissions.

  • Scanning and linking of admissions documents to Salesforce and ImageNow.

Secondary Duties:

  • Serve as back-up for other two Admission Specialists.

  • Budget reconciliation, purchase requisitions and/or interdepartmental requisitions for staff as needed.

  • Other duties as assigned.

Necessary Qualifications:

  • Associates Degree

  • 2 years of clerical/data entry or data processing experience

  • Knowledge of word processing, spreadsheets and database applications.

  • Ability to multitask and work cooperatively with others.

  • Strong verbal and written communication skills.

  • Provides customer service to students, faculty, and staff who phone in and email inquiries.

Preferred Qualifications:

  • Bachelor’s Degree

  • 2 years in a university setting

  • Experience and knowledge of Colleague, Salesforce, and ImageNow
