Job Description

The Administrative Associate III works under general supervision and provides complex administrative support work. This position reports to the Associate Vice President for Student Affairs / Dean of Students.

This position may pay more than the minimum proposed salary listed above, depending on experience and/or qualifications of the selected candidate.


Responsibilities:

  • Order office supplies and maintain inventory, track purchase orders, verify invoices and resolve billing problems and errors with vendors and/or accounting office; maintain accurate records of all purchased items; holds Procurement Card; maintain and reconcile monthly reports for the department, all transaction in accordance with the Procurement Card Program Policy; and maintain monthly review of statements of all account reconciliation.

  • Coordinate the leave and travel activities and manage the records for the department including the Workday System and Concur; Department Administrator for leaves and review bi-weekly time sheet for student workers. Serve as Student Emergency Assistance Fund Administrator.

  • Handle emails, phone calls, and walk in guests with care and determine best course of action for them; scan or read incoming materials in order to determine how and where they should be classified or filed; read and review all incoming correspondences including emails, letters, and job postings for appropriate routing. Maintain and coordinate the Dean of Students calendar

  • Prepare various forms and requests for the department: leaves, travel arrangements, payroll adjustment, memos, and letters as needed; and generate posters and flyers for the department-sponsored programs and advertise/distribute campus-wide emails.

  • Perform other job-related duties as assigned.

Required Education and Experience:

  • High School or equivalent combination of education and experience.

  • Three years of related experience in general office, accounting or personnel operations.

Preferred Education and Experience:

  • Bachelor's degree.

  • Five years of related experience.

  • Ability to multitask and work cooperatively and collaboratively with staff colleagues, students, faculty and others.

  • Excellent verbal and written communication skills.

  • Computer applications and social media competency.

  • Strong interpersonal, organizational, and customer services skills.
