Working in a team-based environment, this position will administer and manage internal procedures related to IACUC support, animal use protocols, and the Animal Use Training Services program. The position reports directly to the Director of the Office of Animal Welfare (OAW) and has delegated authority to administer and manage functions that support the office, the University’s Institutional Animal Care and Use Committee (IACUC), and the UW's overall animal care and use program. The individual in this role will have direct interactions with researchers, department heads and chairs, and work closely with other compliance organizations throughout the institution. Thus, friendly, outstanding customer service skills are a must, as is the ability to manage multiple concurrent priorities and projects under deadline pressure and changing priorities.

Reports directly to a Co-Director of the Office of Animal Welfare (OAW) and has delegated authority to administer and manage functions that support the University’s Institutional Animal Care and Use Committee (IACUC) and its overall animal care and use program. Requires knowledge and experience specific to the operations of the IACUC and OAW, and of the laws, regulations, and policies governing their functions. The individual will serve as a contact for program participants (faculty, staff, students), handling inquiries and requests for assistance via phone, email, and in-person. The individual will manage the intake, prioritization, and processing of items through the HoverBoard eIACUC system and related email, and the composition and distribution of information relative to program activities. The individual will manage regular administrative functions of the Animal Use Training Services (AUTS) program such as quarterly class scheduling, class billing, and access activations. The individual will supervise the work of student employees. The position will also help develop monthly IACUC meeting agendas and take meeting notes and prepare meeting minutes. A small percentage of time will be spent assisting the Co-Directors with OAW planning and scheduling. The position will directly contribute to creating and sustaining a culture of service, quality, accountability, and excellence within the Office of Animal Welfare. Within the University, the Office of Animal Welfare reports to the Assistant Vice Provost of Animal Care in the Office of Research.

40%: Manage regular administrative functions of the Animal Use Training Services program including class scheduling, class registrations, website management, class billing, access activations, and other special requests as needed.

20%: Exercise independent judgment and discretion in setting priorities; revising and updating procedures and work flow; approving and processing administrative changes to protocols; and managing work of student employees.

25%: Administer and manage processes related to our electronic protocol management system, Hoverboard. This includes but is not limited to new personnel amendments, creation and activation of HoverBoard accounts, assignment of HoverBoard user roles, creating and querying HoverBoard reports and entering and/or overseeing all training entries in HoverBoard.

10%: Help compose and review program policies, procedures, and operations, and administer their publication and dissemination.

5%: Provide administrative support for the IACUC, including preparation of meeting materials, providing support during IACUC meetings, and providing administrative support as needed between meetings.

As needed: Other duties as assigned by the Co-Director.

Required

• Bachelor's degree in a scientific discipline (or equivalent experience)

• Be comfortable working in an animal research environment.

• One year of experience in an IACUC office OR equivalent education/experience.

• Ability to exercise independent judgment and decision-making across scope of responsibility.

• Adept at managing multiple concurrent priorities and projects under deadline pressure and changing priorities.

• Ability to effectively function independently, as part of a team, and in collaboration with diverse audiences.

• Ability to maintain confidentiality related to program information.

• Excellent verbal and written communication skills.

• Excellent organizational skills.

• Demonstrated proficiency and work experience with Microsoft Office Suite.

• A commitment to communication, customer service, organization and ongoing process improvement.

Desired

• Experience with HoverBoard or other electronic protocol management systems

• Experience leading the work of others.

• Experience and knowledge of federally mandated Animal Care and Use Program issues, including basic laws and regulations and federally required IACUC operating procedures.

• Ability to uphold a highly responsive program presence in a fast-paced, multiple priority environment.
