Summary of Job Duties:

We’re looking for an Administrative Specialist III to join our team and help us with our daily tasks. The Administrative Specialist III provides administrative support to operations at a UAMS Kids First clinic. The ideal candidate will be well-organized, detail-oriented, and able to work independently. If you have experience in a similar role and are looking for a new challenge, we want to hear from you!

Qualifications:

  • High School Diploma or GED PLUS three (3) years of Administrative experience.

Responsibilities:

  • Provides customer service to Kids First patients, families, and visitors.
  • Interacts with and assists the public in a professional and friendly manner.
  • Demonstrates effective communication skills; communicates accurate and complete information; maintains strict confidentiality when necessary.
  • Demonstrates positive working relationships with co-workers, management team, and other departments; follows the Core Concepts of Patient and Family Centered Care and the Basic Code of Conduct Guidelines.
  • Assists internal and external stakeholders as needed with exceptional customer service.
  •  Provides coverage for assigned phone lines daily; transfers calls and records messages as instructed.  Routes reports, correspondence and other material via interdepartmental and other mail delivery services.
  • Assists in scheduling appointments and reminding families of upcoming appointments and clinic events.
  • Ensures work schedules are met, arrives at work on time, reports to assigned area promptly, requests vacation and non-emergency sick leave in advance, minimizes unplanned absences. Completes annual training timely. 
  • May assist in other areas within the clinic as needed.
  • Tracks, compiles, and obtains documentation needed to ensure patients receive services.   
  • Uses databases to track documentation required by funding source. 
  • Obtains prescriptions needed and communicates to clinical team. 
  • Verifies insurance. 
  • Submits private and/or secondary insurance and other information needed to billing department to ensure payment for services. 
  • Upon direction from clinical staff, sends for documentation or records as.
  • ordered.

  • Types and mails out letters requesting or sending documents as needed.

  • Prioritizes daily, weekly, monthly, and annual activities to meet deadlines.

  • Assists in ordering materials and arranges for services as needed, under the direction of the clinic director. 

  • Operates and maintains office equipment according to proper procedures, coordinates repairs/service as needed.

  • Enters purchase requisitions in SAP, receives goods and ensures orders are complete. 

  • Follows up on incomplete orders.

  • Compiles clinical documentation as required for billing and audit. 

  • Prepares files for referrals, existing, and discharged patients.  

  • Ensures clinical documents, patient records, and other documents are prepared and processed for billing, filing or scanning as indicated. 

  • Files documentation in a timely manner.

  • Assists with preparing for audits of patient records or clinic records. 

  • Ensures filing is completed timely and in accordance with policy and procedure.

            


Salary Information:

$31,200.00
