The Administrative Program Manager is part of the School of Health Professions (SHP) Occupational Therapy Education Department (OTE) staff. This person will contribute to the mission of the department, the school, and the University of Kansas Medical Center.  The Administrative Program Manager reports to the Administrative Officer in OTE.  The Administrative Program Manager provides administrative and programmatic leadership for the day to day operations of the entry level OTD program include planning, coordinating and executing various activities to support faculty leadership,  and working directly with the Program Director(s). The person in this role executes administrative and business procedures and will be a key resource to current and prospective students.

Duties and Responsibilities

The primary duty of the administrative program manager is to support day to day operations of the entry level OTD program, and to provide input on long-range strategic planning and setting goals and objectives for the entry level OTD program and other programs and services of the department. The position reports to the administrative officer and provides support to the entry level OTD program director and the department chair. 

Key Roles and Responsibilities:

Program planning and management of the entry level OTD graduate program

  • Supports student recruitment in conjunction with the Dean’s office and hosts informational sessions for prospective students

  • Manages all aspects of admission, including, but not limited to:

    • inquires from prospective students

    • student application processes (e.g. OTCAS and Slate)

    • policies and procedures for admissions (i.e. applicant reviews, interviews, & decision notifications)

  • Maintains student handbooks and student records

  • Assists graduate students with enrolling for classes as needed

  • Implements a system of regular data feedback and utilizes data for program evaluation and continuous program improvement

  • Ensures the collection of all data and assessments required for accreditation and annual reports

Continuous improvements and development of programs, events, and services.

  • Supports faculty and staff in meeting institutional and departmental targets and timeline

  • Interfaces with university departments (including but not limited to the dean’s office, registrar’s office, financial aid, graduate studies, student health, student support services, alumni, endowment) on behalf of the programs.

  • Creates and manages surveys and databases for reporting (e.g., application materials and decisions, student records, alumni and employer data, accreditation reports, annual reports)

  • Schedules room reservations for teaching and committee meetings

  • Documents and maintains minutes for department meetings and department policies and procedures handbook

  • Provides administrative support to the administrative officer, entry level OTD program director and department chair

  • Develops and implements improvements to events, programs, or services. 

Public Relations Efforts

  • Communicates with departmental administrators to coordinate scheduling  departmental events.

  • Manages the dissemination of news and information about department and institutional events/programs/services to relevant audiences internally and externally.

  • Provides information on the program in response to inquiries from the media, the general public, faculty, staff, students, educators and other audiences.

  • Supports chair in external communications (e.g. donors, public website/social media, alumni relations)

Event Planning and Execution

  • Provides input on the content and details of specific events/services (e.g. interviews, new student orientation, pinning and awards ceremony, alumni weekend, lectureship, administration of student scholarships & awards, retreats, etc).

  • Oversees the development of the overall logistical plan necessary to successfully carry out the event or program/service.

  • Provides technical and/or professional leadership in the execution of day-to-day program/project activities.

  • Attends program events, as needed, to ensure appropriate execution – some may be off campus and outside normal working hours.

  • Assures compliance with applicable institutional, state and federal policies, regulations and laws.

  • Documents events, programs and services to ensure compliance with university policies and procedures, accreditation  standards, and/or funding source.

  • Develops, writes, and presents comprehensive statistical and narrative program reports.

Qualifications

  • Bachelor’s degree in education, business or related field, or an equivalent combination of education and experience

  • Ability to communicate in a manner that demonstrates and fosters cooperation, respect, concern and openness to change

  • Strong skills in teamwork and collaborating across departments

  • Advanced knowledge of computer software for organization and documentation, including but not limited to Microsoft Outlook, Word, and Excel

  • Basic knowledge of program management principles and practices

Preferred

  • Masters Degree in education, business, heath profession, or related field

  • Prior program development, management, and evaluation experience

  • Experience with student admissions/CAS

  • Experience with managing databases and designing surveys

  • Experience with managing social media sites

  • Prior experience in a health related academic graduate program

  • Ability to manage relationships and be inclusive with diverse groups of people

Expectations

  • The balance between performing job duties remotely, on campus, or at other venues (e.g., at occasional off campus events) will be determined by the nature of ongoing duties and activities and by current institutional policies at the time.

  • Independently prioritize duties and tasks to ensure that deadlines are met and the needs of the entry level OTD graduate program is satisfied.

  • Promptly respond to emails and phone calls received during normal working days/hours (M-F, 8 am-4 pm, excluding holidays/vacation, or by agreement). Responds to emails received outside normal days/hours on the next business day, except by advanced agreement.

  • Current hybrid work schedule available with completed remote work agreement, (does require half time in the office)
