Position Summary
Reporting to the Director of IT Business Services, the Administrative & Fiscal Coordinator assists with managing all administrative support for the business and financial functions for a department of approximately 110 employees. Primary responsibilities include but are not limited to:
  • Serves as liaison between department supervisors, senior unit leadership, and university Human Resources for recruiting staffing/position changes, and salary actions.
  • Manages all department paperwork required for student employment.
  • Creates purchase orders, processes payments makes travel arrangements, and creates journal vouchers for employees and the department.
  • Enters and reviews all campus-wide procurement activities for IT approval.
  • Maintains the calendars for senior IT leadership and schedules meetings, events, etc.

This position is only open to current William & Mary and VIMS employees.
Conditions of Employment
  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
  • Information Security: This position requires administrative access to the university’s information systems and/or sensitive College data. The incumbent is expected to be aware of and adhere to the Information Security policies of the university as well as all applicable federal, state, and local laws. Additionally, the incumbent is expected to follow information security best practices applicable to their job and to pursue information security and awareness opportunities when possible.

Required Qualifications
  • High school diploma or equivalent.
  • Working knowledge of general office practices and procedures, including customer service techniques.
  • Knowledge of procurement of goods and services.
  • Experience in an office environment performing administrative support or customer service functions that includes experience with scheduling.
  • Experience with office productivity tools including Microsoft Office: Word, Excel, PowerPoint, Outlook, and multiple internet browsers.
  • Demonstrated ability to effectively organize, prioritize, and navigate multiple competing priorities in a fast-paced environment, providing a high level of attention to detail and accuracy.
Preferred Qualifications
  • Post-secondary education such as an associate’s or bachelor’s degree or the equivalent combination of education, training, and or experience.
  • Experience with complex scheduling for events such as staff meetings or retreats.
  • Experience working in higher education, preferably in fiscal administration.
  • Experience working with W&M systems such as Banner, Qlik, PeopleAdmin, America to Go, Jaggaer/BuyWM and ChromeRiver.
  • Familiarity or experience with W&M employment/hiring practices and procedures.
  • Experience successfully maintaining group calendars, web pages, and distribution lists.
  • Experience with Virginia’s small purchase charge card program & Voyager fuel card system.

Advertised Pay Range $45,000 to $48,000 commensurate with experience.
