Job Description

Under the general supervision of the Director of Communications and Operations, this position provides assistance in the day-to-day operations of the Office of the President, in three primary areas: general administrative support, University events support, and supervising student staff.

Compensation for this position will start at $36,512.

Roles and Responsibilities:

General Administrative Support – 40%

The Administrative Coordinator is responsible for the efficient and professional operation of the reception area of the office and will maintain a high degree of professionalism and discretion, as well as provide exceptional customer service to internal partners and guests.

  • Provide business operations and administrative support to assigned program areas.

  • Applies and interprets, and/or assists in implementing operating practices. Develops administrative and technical procedures relevant to program areas supported.

  • Implement and maintain project plans and timelines, communications and schedules.

  • Coordinates travel arrangements and prepares itineraries. Coordinates meetings, seminars, and other special events and may provide on-site support.

  • Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Responds to, or routes to an appropriate staff member, all emails, phone calls and inquiries received.

  • Maintain and monitor office supply inventory levels and place orders as needed.

  • Assist the Director of Communications and Operations in providing direction for student workers.

  • As needed, provide executive support to the Chief of Staff.

  • Special projects and other duties relevant to the position will be assigned as needed.

  • Maintaining editorial calendar for social media channels associated with Office of the President

University Events Support – 35%

Support the University Events Manager as needed, including with:

  • Planning and advance preparation for major University events

  • Business operational support for ordering, purchasing, and reconciling expenses related to University events

  • As needed and schedule permitting, assist with set-up and execution of events

Supervision – 25%

Support the Director of Communications and Operations as needed supervising student workers, including with:

  • Managing student timecards and scheduling.

  • Assisting with Office of the President correspondence, as assigned

  • Assisting with maintaining Office of the President website content

  • Assisting with maintaining Office of the President social media calendar.

Required Education and Experience:

  • Bachelor’s degree in Business, Communications, or English

  • Three years of directly relevant experience.

Preferred Education and Experience:

  • Experience working in a public higher education setting

  • Previous experience with maintaining social media accounts on behalf of a business or organization

  • Previous experience with event planning and coordination

Knowledge, Skills and Abilities:

  • Strong organizational, time management and leadership skills

  • Very strong communication skills

  • Ability to multi-task, work under pressure, and meet deadlines

  • Ability to work effectively, cooperatively, and diplomatically with students, staff, committees, and the public

  • Aptitude for accuracy and detail

  • Strong interpersonal skills
