The Opportunity

The Administrative Coordinator II position provides overall management of the Department of Chemistry administrative and student support services and assists the Chair in all aspects of managing the department.

Responsibilities:

  • Assist Chair with Administrative Functions. Responsible for correspondence from the department and chair, such as thank you and employment verification letters. Reporting: gather data, complete internal and external reports, assist with accreditation reporting. Faculty Excellence: assist with all faculty administrative requirements, including reporting, forms, assignments, changes, ADIs, and annual evaluations.

  • Overall management of the Department of Chemistry administrative and student support services. This includes ensuring managing staff in the administrative and student support areas.

  • Event coordination, maintaining calendars for shared spaces, and scheduling department/faculty meetings. Events include grad student/faculty welcome in the Fall, Awards banquet in the Spring, ACS events when the national meeting is in town, Southeast Chairs Conference, and more. Coordinate items for visitors – parking passes, meal tickets, and room reservations. Record minutes of faculty meetings and distribute to faculty.

  • Facilitate the local services associated with hiring faculty and staff that are not provided by the HR Business Center. This includes developing an interview schedule, making arrangements, and maintaining documents for the Chair.

  • Key orders, office purchase orders (Amazon, Staples), and create FedEx Labels for the department. Submit work orders for maintenance as needed. Maintain occupancy records of PSB, assign and coordinate cleaning out offices as needed. Submit minor projects and major work orders as needed. Submit work orders for maintenance and cleaning requests.

  • Maintain department website and social media pages with up-to-date information.

  • Serve as IT Liaison and submit telecommunication requests, this includes submitting requests for quotes and purchase of computers, laptops, monitors, etc. for anyone in the department. As well as submitting IT requests to fix such items.

Minimum Qualifications: 

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) .

Preferred Qualifications:

  • Previous experience managing office activities, establishing priorities and deadlines, and assigning work.

  • Previous experience performing non-routine and advanced administrative support duties.
