The Texas A&M University Cyclotron Institute, a Department of Energy University Facility, is jointly supported by DOE and the State of Texas and is a major technical and educational resource for the state and the nation. At the Institute, we focus on conducting basic research, educating students in accelerator-based science and technology, and providing technical capabilities for a wide variety of applications in space science, materials science, analytical procedures and nuclear medicine. The Administrative Coordinator II will serve as a facilitator in helping communication flow seamlessly throughout the office as well as with others outside such as individuals and entities. They will provide entry processing of all accounts payable, inventory and shipping and receiving for the department are key function of this position. What You Need to Know

Salary Range: Compensation will be commensurate to selected hire's experience.

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Three years of experience in office administration

Required Knowledge, Skills, and Abilities:

  • Knowledge of document creation/editing and spreadsheet applications

  • Interpersonal and communication skills

  • Planning and organizational skills

  • Ability to multitask and work cooperatively with others

  • Excellent oral and writing skills

Physical Requirements:

  • Lift, bend, and move moderately heavy weight

  • Climb stairs

Preferred Education and Experience:

  • Knowledge of FAMIS/Canopy, Aggiebuy, Concur

  • Knowledge of TAMU inventory control

  • TAMU fiscal procedures for purchasing & disbursement

  • Ability to cultivate and maintain professional working relationships

Responsibilities:

  • Procurement Card: Oversees maintenance and reporting of department procurement card program. Enters, reviews, approves, and audits vouchers, requisitions, and other departmental expenses/purchases with the required documentation. Performs monthly reconciliation of procurement card purchases within a given time frame through Concur system. Ensures purchases are in budget within departmental accounts. Requests new payment cards as needed.

  • Purchasing: Coordinates unit purchasing activities. Responds to inquiries from faculty and staff regarding purchasing procedures utilizing state, designated, and sponsored funding. Coordinates with faculty and staff on receiving & pick-up of purchases. Responds to and coordinates audit requests from university fiscal offices. Back-up to review and approve purchase vouchers and/or requisitions for compliance within account guidelines reports. Coordinates year end close out processes for purchasing activities. 

  • Shipping and Receiving: Ships and receives all packages.

  • Property Liaison: Assists in department annual inventory and surplus procedures. Acts as the department liaison with system member Property offices. Ensures all equipment and other department property is properly tagged and updates in the internal systems and performs other duties as assigned.
