Who We Are

The Office of the Registrar has the primary responsibility of maintaining academic records of all current and former students. The Office of the Registrar has two priority goals: to maintain a high quality of service to all who come into contact with the office, and maintain and protect the academic integrity of the student record in accordance with University, state and federal guidelines.

The Office of the Registrar seeks an Administrative Coordinator II to coordinate day-to-day administrative support for the university program inventory, including online and distance education programs. What You Need to Know

Salary Range:$36,512.00 - $46,924.80 (Based on selected hire’s qualifications)

Other Requirements and Factors: Must be able to work occasional extended hours during certain periods of the year. Must be punctual, dependable, and able to work independently.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Three years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications. 

  • Proofreading, editing, and researching skills.

  • Interpersonal and organizational skills.

  • Ability to understand, follow, and give verbal and written instructions.

  • Attention to detail and accuracy.

  • Ability to work independently and exercise discretion and judgment while performing job duties. Ability to comfortably interact with various staff at all levels.

  • Standard office procedures/protocol.

  • Ability to multitask and work cooperatively with others.

Preferred Qualifications:

  • Knowledge of online and distance education regulations and approaches to instruction. Knowledge of content management systems, student information systems, and standard software applications.

  • Familiarity with Texas A&M academic procedures, policies, and rules.

  • Knowledge and understanding of FERPA.

  • Knowledge of distance education rules related to THECB, SACSCOC, USDOE, NC-SARA.

  • Ability to comply with federal, state, system, and Texas A&M laws, policies, rules, and regulations.

  • Experience with Microsoft Word, Excel, Outlook and Adobe Acrobat Professional.

  • Experience with student information system (Banner).

  • Knowledge of content management systems (CourseLeaf).

  • Training presentation and delivery skills

Administrative Support

  • Coordinates administrative support functions for distance education compliance and university program inventory.

  • Responds to routine inquiries from prospective students, current students, faculty, and staff regarding online and distance education.

  • Monitors and maintains group email accounts.

  • Develops procedures for online and distance education processes and updates as appropriate.

  • Answers the main Curricular Services phone line and direct calls and responds to emails in a respectful and prompt manner.

Coordination

  • Builds, maintains, and updates the distance education student complaint log and seeks and records resolutions.

  • Coordinates with departments to gather required information for reports/surveys i.e., collection and submission of institution data to NC-SARA.

  • Educates academic units concerning state authorization requirements.

  • Collects, monitors, and analyzes professional licensure determinations and disclosures made by programs.

Program inventory

  • Reviews degree program proposals submitted through the curricular approval request system, CARS, and ensures proposals adhere to TAMU policies and procedures.

  • Interprets and upholds university rules, federal regulations, student rules, and state law.

  • Maintains and tracks program inventory in the Curricular Approval Request System (CARS) and student information system related to online and distance education.

  • Assists in the review of undergraduate, first professional, and certificate program proposals and analyzes and interprets proposed program changes and their effect on a program's degree evaluation.

  • Provides recommendations to university faculty and staff on program changes and their impact on a program's degree evaluation and students and provides backup coordination for degree evaluation maintenance.

  • Assist in the production of the university Catalogs, ensuring the accuracy of program information.

Compliance

  • Maintains an understanding of pertinent federal, state, system, and university rules and regulations related to online, distance education, and state authorization.

  • Participates in the implementation of federal, state, and university policies and regulations concerning distance education.
