Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience
  • Three years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications
  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgement and initiative
  • Ability to multi-task and work cooperatively with others

Responsibilities:

  • Departmental Administrative Coordination - Provides direct administrative support for the Department Head and coordinates administrative support operations for the department. Serve as the office manager. Attends meetings or committees on behalf of the Department Head and or Associate Department Heads. Evaluates and develops procedures and methods for process improvement, administrative changes, or new initiatives. Participates in the planning and execution of administrative operations. Coordinates and monitors actions items, projects, and assignments. Resolves complex and highly sensitive confidential administrative matters. Coordinates administrative assistance to department standing committees. Keeps Department Head schedule and coordinates his travel plans. 
  • Supervision - Establishes goals and objectives of administrative operations. Plans and determines work priorities for departmental staff. Supervises assigned staff and students. Develops and approves schedules, priorities, and standards for achieving goals. Evaluates and trains departmental staff and students. Develops methods and procedures to maintain workflow and productivity.
  • Logistical & Fiscal Support - Plans and coordinates logistical and administrative support for events, meetings, and other special departmental functions. Attends meetings, and coordinates and monitors administrative action items assigned to the department. Monitors the departmental fiscal accounts. Approves and provides account numbers for purchases. Maintains the departmental policies and procedures manual and ensuring compliance with College and University rules and procedures. Coordinates office records retention. Coordinates the maintenance of office reference and resource materials. Frequently adapts, combines or makes improvements to services, processes or programs.
  • Faculty Managements - Coordinates faculty searches, hiring process, promotion & tenure process, annual reviews, and annual reports concerning faculty.
  • Industry Relations - Coordinates departmental representation in the annual SIGGRAPH conference. Coordinates the biannual meetings of the Visualization Industry Partners and Visualization Industries Fair. Coordinates industry relations events for Visualization related research groups to include the Institute for Applied Creativity, the Live Lab and TIEL. Performs other duties as assigned.
