What we want 

The Administrative Coordinator II, in the Industry Relations Office is responsible for providing direct administrative support to the Industry Relations Coordinator (Director), and the faculty and students in the department. This position is responsible for maintaining files and records for Construction Industry Advisory Council (CIAC) memberships, and internship agreements. Scheduling, planning, and directing all major industry related events including, but not limited to: career fairs, meetings, field trips, banquet, company days, and tailgates.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Three years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and communication skills.

  • Professional knowledge in Microsoft Office in and/or google docs.

Preferred Qualifications:

  • Ability to coordinate meetings, seminars, and other special events and provide on-site support.

  • Ability to coordinate the maintenance of files and records.

  • Planning and organization skills.

Essential Duties/Tasks:

  • CIAC Events Coordination- Coordinates the scheduling, planning, and directing all major industry related events including, but not limited to, career fairs, meetings, travel, field trips, banquets, company days, and tailgates. Develops event budgets and assists with account reconciliation. Monitors event planning timelines and provides updates to managers. Facilitates event communication and registration procedures to faculty, staff, students, and community partners. Maintains files and records for Construction Industry Advisory Council (CIAC) memberships, and internship agreements.

  • Liaison for CIAC and Students- Serves as the liaison for Student Internships for 300 plus undergraduate and graduate students. Provides direct administrative support to the Industry Relations Coordinator (Director). Answers daily emails and phone calls from students and CIAC members, and future CIAC members. Coordinates the processing of internship paperwork, invoicing, and master internship agreements. Ensures adherence to CIAC procedures regarding membership agreements, invoicing, and other financial matters.

  • Other Department Events Assistance- Assists with coordinating other Departmental Events.
