What we want

The Administrative Coordinator I under general supervision to provide support and assist management in the coordination of support activities in the Veterinary Medical Teaching Hospital and provides administrative support for the Small and Large Animal Hospital Assistant Directors. Serves as a liaison between supervisor and Human Resource Office to ensure that the processes of hiring, progressive discipline, promotions, and terminations are done in a timely manner.

Other Requirements and Factors: May be required or asked to work during scheduled University holidays, weekends, and after-hours. Persons in this position are considered essential when the University declares an emergency, campus closure, class cancellations, etc., and are therefore required to report to work and remain on duty unless/until relieved by the direct supervisor.

Required Education & Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Two years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and Communication skills.

  • Planning and organization skills.

Responsibilities:

  • Administrative Support: Assist the Large and Small Animal Hospital Assistant Directors with the coordination of daily office support activities and administrative interactions. This includes: Works with the Human Resources Team to: update position descriptions, assist with requests to create new and/or reclassify position description, schedule interviews, request Reference Check, enter hiring request in Laserfiche with required hiring documents. Evaluates office procedures and ensures that employees are consistently adhering to them. Provide technical information regarding administrative procedures, services, and/or programs. Researches and analyzes administrative requirements for specific programs or projects. Responds to inquiries and interprets rules, regulations, policies, and procedures.​Assists with implementing management or operating procedures; develop new procedures as needed. Maintains Staff Policy and procedure manual. Monitors compliance with policies and procedures. Schedules career ladder timelines and benchmarks. Provides occasional backup support during supervisor’s absence. Acts as backup for animal bites and Infection Prevention Coordinator responsibilities. Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor.

  • Scheduling Support: Maintains office schedules and appointments. Assists the Large and Small Assistant Hospital Directors and admin staff with the coordination and planning of meetings, appointments, interviews, training, Hospital Certification and Accreditations and other events. Coordinates and schedules orientation for Ross University students, St. George students, and Blinn Veterinary Technology students including the scheduling of facilities, equipment and food. May coordinate travel arrangements and prepare itineraries.

  • Record Support: Creates and submits purchase orders to the Hospital Purchasing Department. Verifies purchase orders, repair orders, travel and leave forms and other documents that have been turned in for accuracy and completion prior to sending to the appropriate departments. Communicates and resolves any non-routine purchases order matters that may come up with the Hospital Purchasing Department.. Maintains purchase orders, repair orders, travel and leave forms and other document files. Coordinates the maintenance of files, records, office supplies, or equipment. Performs other duties as assigned.
