Job Description

Responsibilities:
-Participates in the planning and execution of administrative operations. May serve as the office manager. Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures.
-Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor.
-Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures, services, or programs.
-Applies and interprets, and/or assists in implementing management policies or operating practices. Develops administrative and technical procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures.
-Coordinates travel arrangements and prepares itineraries. Coordinates meetings, seminars, and other special events and may provide on-site support.
-Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives.

-Conference room reservations and calendars

-Parking reservations

-Liaison for textbook adoptions and ordering

-Secures scantrons for exams

-Manage Xerox machine – monitor paper and oversee maintenance, assign copy codes and prepare billing

-Assist with DPD handbooks and student contracts

-Oversight of department email account - Responds/routes emails

-SECC Coordinator for department

-Maintain and update NUTR employee information in AgriLife People

-Staff support for course evaluations

-Mail service liaison. Manage mail service for department mail stop.

-Department Fedex contact

-Oversight of front lobby for package delivery and distribution

-Department reception:  handles visitors and incoming phone calls and directs as required

-Maintains a variety of academic records.  Verifies, processes, and reviews forms, reports, and other documents as required. Maintain academic documents in Laserfiche as requested

-Make arrangements for meetings, appointments, conferences, and travel.  May set up meetings, seminars, and other special events to include facilities, equipment, and food

-Process expense reports in Concur

-Orders/maintains office supplies and equipment

-Orders breakroom supplies as needed

-Telecommunication work orders for departmental phones.  Assists faculty, staff and students with phones as needed.

-Coordinates activities and assign work to student workers.  Participates in the hiring, training and supervision of departmental student workers.

-Serve as backup for the department administrator

-Other duties as assigned.

Required Education and Experience:
-Bachelor's degree or equivalent combination of education and experience.
-Two years of related experience.


Required Knowledge, Skills and Abilities:
-Knowledge of word processing, spreadsheet, database, and presentation applications.
-Ability to multitask and work cooperatively with others.

-Interpersonal and communication skills.

-Planning and organization skills.
