What We Want

The Administrative Coordinator I will provide administrative support to department leadership. This position will assist in resolving complex, highly sensitive and confidential administrative matters as well as apply, interpret, and communicate University policies and procedures. In addition, they will assist the Business Administrator with processing reimbursements, maintain departmental payment cards and prepares expense reports, and liaise with department leadership and Business Administrator. This position is housed in the Melbern G. Glasscock Center for Humanities Research.

What You Need to Know

Starting Salary: $40,000 per year

Required Education and Experience:

  • Bachelors or equivalent and two years of office administration experience

Required Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others

  • Effective verbal and written communication skills

  • Ability to assist with rolling tables and chairs between rooms for meeting set-ups

Preferred Education and Experience:

  • Ability to cultivate and maintain professional working relationships

  • Ability to learn quickly and maintain knowledge on TAMU systems and programs (Concur, AggieBuy, Canopy, etc.)

Responsibilities:

  • Office Management: Provides front desk coverage. Provides administrative support to department leadership. Serves as the first point of contact and coordinates responses to requests for information. Creates, establishes, and maintains files and documents. Maintains office spaces, to include updating office signage and managing asset inventory. Maintains departmental parking reservations. Updates office schedule to maintain the team’s overall availability and part-time employee schedules. Assists in resolving complex, highly sensitive and confidential administrative matters. Applies, interprets, and communicates University policies and procedures, and serves as a resource.

  • Program Support: Assists in the management of the colloquium series. Maintains GCHR’s event spaces and manages room schedules. Assists with Advisory Board meetings, correspondence, and membership files. Assists with grant application processing, to include filing materials, sending confirmations, and basic coordination of review. Assists with the Working Groups program. Provides support to the Program Coordinator in arranging travel and logistics for guests.

  • Business Support: Assists the Business Administrator with processing reimbursements. Maintains departmental payment cards and prepares expense reports. Liaises with department leadership and Business Administrator on budgets and performs other duties as assigned.
