The Administrative Coordinator I is responsible for supporting the Executive Assistant and serves as the department’s lead receptionist, which includes supervising and managing project intake and distribution amongst the Front Desk Student Staff. This position is responsible for supporting the administration and programs relating to the facility management of the department, and may also include the hiring, training and supervision of 6-8 student employees who support the operations of the department. What you need to know
Starting Salary: $36,000/year

Position details: May supervise Student Assistants (6-8)

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Two years of related experience in office administration

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications

  • Commitment to university’s and department’s core values

  • Ability to multi-task and work cooperatively with others

Preferred Qualifications:

  • Knowledge of student organizations, activities, programming, and administration

  • Certified Administrative Professional (CAP)

Essential Duties/Tasks

  • Customer Service - Oversees customer service and front desk reception efforts for the department.  Responsible for the intake processes of departmental forms, documents, and mail.

  • Facility Rentals and Reservations - Oversees and approves reservations, rental and associated billing of meeting space, office space, storage space and equipment for semester and daily use by department staff, student organizations, and outside university departments. Manages room and equipment usage through the Event Management System (EMS) which includes 71 hours per week of assignable meeting times. Exercises conflict management and problem solving skills for this process.

  • Facility Administration/Maintenance - Coordinates and tracks maintenance checks, repairs, equipment orders, and work orders including communication with custodial and/or maintenance staff. Coordinates with Telecommunications on necessary phone or network changes, orders, and repairs.

  • Facility Access Control - Serves as the primary keyless access administrator for the department, as well as oversees the physical key distribution and tracking system.

  • Inventory Control - Supports the property and facilities inventory tracking and reporting processes which include, but are not limited to, annual property scanning and reporting, facility occupancy updates, and managing surplus transfers to/from Texas A&M Logistics. Other duties as assigned. Participates on university, division, and department committees and task forces.
