The Administrative Coordinator I position will provide administrative support for the Race and Ethnic Studies Institute (RESI).

What You Need to Know

Salary: Compensation will be commensurate based on the selected candidate's education and experience.

Location: This position is not remote.  Employee will be required to attend to various appointments on and off campus as directed to fulfill the duties of this position.

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Two years of experience in office administration

Required Knowledge, Skills, and Abilities:

  • Knowledge of spreadsheet, database, and presentation applications

  • Interpersonal and communication skills

  • Planning and organization skills

  • Ability to work with various groups of people and be helpful, respectful, approachable, and team oriented

  • Ability to build strong working relationships and a positive work environment

  • Ability to work independently

Preferred Education and Experience:

  • Moderate to advanced knowledge of MS Word, MS Excel, and MS Access

  • Basic knowledge of FAMIS/Canopy, AggieBuy, Concur, and CitiDirect

  • Basic knowledge of university disbursement policies

Responsibilities:

  • Administrative Support: Provide administrative support for unit leadership for the Race and Ethnics Studies Institute (RESI). Serves as office manager and personal assistant to unit leadership. Monitors office procedures and develops, evaluates, and ensures adherence to office procedures. Applies and interprets, and/or assists in implementing management policies or operating practices. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies, and procedures. Monitors compliance with policies and procedures. Maintains leadership calendars and provides administrative support for meetings. Processes program correspondence and reviews documents for leadership. Attends meetings on behalf of leadership. Maintains personnel and administrative records and listservs. Assesses the needs of students, staff, and faculty. Provides technical information regarding administrative procedures, services, and programs. Performs special analyses and project summaries. Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, and new initiatives. Purchases and maintains inventory. Serves as the accountable property officer for RESI. Hires, trains, schedules, supervises, and evaluates one or two student workers. Maintains website and social media.

  • Special Activities, Events, and Projects: Plans, coordinates, and handles logistics for meetings, seminars, and other special activities and events. Coordinates public engagements for the program.

  • Business Operations and Support: Serves as a liaison with the ACAD Business Hub on budgetary matters. Responsible for gathering all necessary documentation (receipts, list of attendees, contracts, etc.) to ensure payments are processed according to TAMU financial policies and procedures. Serves as a liaison between the unit’s administrators, staff, guests, vendors, speakers, and the ACAD Business Hub. Coordinates travel arrangements for guests using Concur (eTravel system). Develops travel itineraries for visitors. Submits pertinent information to the ACAD Business Hub to process expense reports in Concur and performs other duties as assigned.
