What We Want

The Administrative Coordinator I will participate in the planning and execution of administrative operations, monitor office procedures, and train student workers and support staff. In addition, the Administrative Coordinator I will develop, evaluate, and ensure adherence to office procedures. This position will review documents for their supervisor, as well as attend meetings or committees on behalf of said supervisor. What You Need to Know

Salary Range: Compensation will be commensurate to selected hire's experience.

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Two years of experience in office administration

Required Knowledge, Skills, and Abilities:

  • Knowledge of spreadsheet, database, and presentation applications

  • Ability to multitask and work cooperatively with others

  • Strong verbal and written communication skills

  • Strong interpersonal and organizational skills

  • Planning and organizational skills

  • Ability to work with sensitive information and maintain confidentiality

Preferred Education and Experience:

  • TAMU experience 

  • Website maintenance

  • ASTRA/Compass Systems

Responsibilities:

  • Administrative Support – History Department: Participates in the planning and execution of administrative operations. Monitors office procedures. Develops, evaluates, and ensures adherence to office procedures. Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. Performs special analyses and project summaries. Coordinates meetings, seminars, and other special events and may provide on-site support. Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives. Prepares printed materials. Trains student workers and support staff.

  • Administrative Support – Associate Department Head – Course Scheduling: Tracks undergraduate curriculum schedules to assure courses are taught at least once every three years. Collects, organizes, and submits requests for courses each semester and prepares course rotation spreadsheets for final course request submission. Enters schedules in ASTRA system. Interacts with other university offices for classroom scheduling and resolution of conflicts. Adjust schedules, rooms, assignments, and enrollments as needed. Coordinates, creates, and maintains a physical course schedule and faculty and graduate student’s office hours for departmental use. Confers with academic advisors on matters related to scheduling.

  • Administrative Support – Market and Communications: Coordinates with the Marketing and Communications team at the department and college level to assist with maintenance and updates of department website. Develops content for department website calendar and digital signage in GLAS. Uploads and oversees delivery of content to digital signage in GLAS. Develops and distributes event flyers to be used on social media, website, and university calendar.

  • Event Planning: Assists in planning of special events and coordination of logistical arrangements and performs other duties as assigned.
