Job Description

The Administrative Coordinator I provides administrative support to the Department Head and the Chief of Administrative Staff to process daily, periodic and long-term administrative matters dealing with academic and research related issues. Provides administrative support to the Graduate Student Advisor Team to process daily, periodic and long-term administrative matters dealing with academic advising.

Responsibilities:

  • Provides administrative support to the Department Head and the Chief of Administrative staff to process daily, periodic and long-term administrative matters dealing with academic and research related issues.
  • Coordinates annual departmental scholarship process including the annual scholarship banquet.
  • Provides clerical support to departmental administration as needed.
  • Answer and screen telephone calls.
  • Organizes department celebrations
  • Assists the DH and Chief of Administrative staff with building renovation execution
  • Coordinates and manages department’s graduate fellowships; enters grad fellowship awards in SPARTA
  • Coordinates event planning for Grad Invitational, recruitment event for highly competitive prospective graduate students (Feb.)
  • Oversees TA training eligibility (i.e. English Language Proficiency), assignment, completion, and compliance in fall and spring semesters
  • Contact for annual surveys (e.g. Doctoral Characteristics, NSF/NIH Survey of Grads & Post Docs); coordination of graduated/employed by list for surveys
  • Coordinates room reservations, e.g. for student organization meetings, defenses, etc.
  • Maintains database of alumni emails
  • Other duties as assigned

Required Education:

Bachelor's degree or equivalent combination of education and experience.

Required Experience:

Two years of related experience.

Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, surveys, database, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills.
  • Planning and organization skills.
  • Preferred experience with TAMU system travel.
