What we want

The Administrative Associate V works under general supervision and provides a wide range of advanced administrative support for the unit. Supervises and trains student workers. Communicates via telephone to provide excellent customer service. Helps to disseminate written communications for the office. Assists with assessment efforts of the unit. Assists in conducting New Student Conferences.

Required Special Knowledge, Skills, and Abilities:

Knowledge of word processing, spreadsheet, and database applications. Excellent written communication, analytical, interpersonal, and organizational skills. Ability to work in a high stress environment. Ability to work with sensitive information and maintain confidentiality. Ability to work independently once given a project. Ability to work with groups of people and be helpful, respectful, approachable, and team oriented. Ability to build strong working relationships and a positive work environment. Ability to multi-task and work cooperatively with others.


Required Education:

High school graduation or any equivalent combination of education and experience.

Required Experience:

Five years of experience in general office or clerical work.

Preferred Education:

Associates degree or equivalent combination of education and experience.

Preferred Experience:

Two years of experience in administrative support in a higher education setting.

Preferred Special Knowledge, Skills, and Abilities:

Knowledge of Outlook and MS Office Suite.

Knowledge of TAMU academic procedures and rules.

Knowledge of FERPA.

Able to use Banner/COMPASS.

Ability to comply with federal, state, system and TAMU laws, rules, and regulations.

Responsibilities:

Administrative Support: Provides advanced administrative support for the Biomedical Sciences Advising Center. Greets visitors, answers and screens calls, provides general information and referrals, and schedules appointments. Maintains office schedules. Receives, sorts, and routes mail and performs other mail services. Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies. Provides technical information regarding administrative procedures and services. Sets up, troubleshoots, and manages Zoom advising sessions for virtual advising. Assists students and advisors to schedule meetings and appointments via EAB Navigate. Coordinates activities and assign work to/train student workers. Assists with coordinating the distribution of materials and information to students. Explains procedures to students and monitors compliance. Assists in the coordination of special events and related files. Provides organizational planning and problem-solving skills. Assists with Biomedical Sciences Advising events including New Student Conferences and prospective visits. Makes recommendations for process improvements, administrative changes, or new initiatives.

Records Management, Data Entry, and Word Processing: Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications. Performs data entry, retrieval, and maintenance of data files. Creates and maintains spreadsheets and databases for undergraduate students. Maintains a variety of administrative and academic records, including advising data for assessment purposes. Prepares, modifies, and verifies documents. Performs verification of enrollments for students in independent research projects. Utilizes EAB Navigate to upload or enter notes.

Maintaining Office Equipment, Web Sites, and Supplies:

Maintains office supplies and equipment. Maintains office reference materials including online office materials and web site maintenance. Disseminates information via listservs and mailing lists. Performs inventory maintenance and records retention. Delivers, picks-up, or receives documents, supplies, equipment, or materials.

Supervise Student Workers: Supervises, trains, and evaluates the work of student workers. Assigns tasks and evaluates job progress. Plans work and determines work priorities. Assists in the development of budget for student worker salaries.
