The Health Science Center (HSC) is looking for an Administrative Associate V to serve as a member of the Office of Medical Student Research Education team.

The Administrative Associate V works under general supervision to provide administrative support to facilitate research and scholarship for medical students. This individual is responsible for coordinating Medical Scholar Research Pathway Program (MSRPP) activities and is an active liaison between medical students and their faculty mentors. Develops communication materials to stakeholders describing various research programs, bi-annual reports, and assessments. Required Education and Experience:

  • High school diploma or equivalent combination of education and experience
  • Five years of experience in general office or clerical work

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Excellent written communication, analytical, interpersonal, and organizational skills.

  • Ability to work with sensitive information and maintain confidentiality.

  • Ability to work independently once given a project

Preferred Education and Experience:

  • Bachelor’s degree in Arts or Sciences
  • Academic administrative experience supporting educational programs

Preferred Licenses and Certifications:

Preferred Special Knowledge, Skills, and Abilities:

  • Knowledge of Canvas, PowerPoint, Camtasia and Qualtrics

Responsibilities:

  • Administrative Support - Maintains Medical Scholar Research Pathway Program (MSRPP) records, office supplies, and equipment, ensuring compliance with policies. Coordinates daily office support and weekly research educational events. Assists in collecting documentation to support research awards Aids staff in maintaining MSRPP alumni relations. Assist in administrative interactions and engagement of MSRPP faculty mentors with students. Verifies, processes, and reviews forms, reports, tables, and other documents. Tracks MSRPP student research outcomes in bi-annual reports. Makes recommendations for process improvements, administrative changes, or new initiatives.
  • Coordinate Research Educational Programs - Works independently to recruit, teach and retain MSRPP students and alumni by creating educational resources and handouts. Responds by email to inquiries regarding Office of Medical Student Research Education policies and procedures providing technical administrative information. Monitor compliance with policies and procedures. Provide organizational event and logistics planning for research conferences, meetings, awards, grant funds, seminars, and summer internships. Makes promotional videos to promote and support MSRPP programs. Edits video recordings of MSRPP research talks, and testimonials.
  • Department Specific Duties - Assists with OMSRE webpage research program forms updates. Assists with MSRPP Fellows and MRTA application processing. Performs other duties as assigned.
