Job Description

PURPOSE

Works under the supervision of the Chair for the Department of Music and provides advanced administrative support work for the faculty and Chair in this department.

JOB DESCRIPTION

Functional Area 1: Administrative                                                         

Percent Effort: 20%      

Essential Duty?  ☒  Yes ☐  No

  • Front-line point of contact for the Department of Music.
  • Answer calls to the department.
  • Greet students and visitors.
  • Schedule meetings and maintain calendars for the Department Chair.
  • Submit work orders for maintenance.
  • Schedule rooms in Astra for special events and rehearsals.
  • Other duties as assigned.

Functional Area 2:  Operations                                                    

Percent Effort: 40%

  • Prepare course schedules in Banner and process reports from Argos.
  • Enter permissions in Banner for all majors each semester.
  • Confirm faculty textbook adoptions.
  • Receive and review all faculty syllabi for submission to the Dean’s office.
  • Assist in the preparation and processing of catalog and course description revisions.
  • Create Workday documents for the hiring of student workers, graders, and adjuncts.
  • Hire, train, evaluate, and supervise department student workers.
  • Assist in scheduling of faculty search events.
  • Arrange and/or assist departmental travel (faculty, student, incoming guests) using Concur.
  • Assist faculty, Department Chair, and Event Specialist with organizing special events, to include purchasing, catering, campus announcements, invitations, and registration.
  • Produce programs for all recitals from information submitted by faculty.
  • Create reports as needed from Interfolio for Chair and Dean’s office.

Functional Area 3: Program Management

  • Manage the back-office planning and implementation of summer camps to include the intake of registration fees, permission slips, contracts, and University compliance.
  •  Oversee department music library.
  •  Issue and track all department instruments, schedule maintenance or repair for instruments and keep spreadsheet of student lockers.

Functional Area 4: Budget                                                            

Percent Effort: 20%

  • Assist with department fiscal activities, such as purchasing, Pcard, and reconciling accounts using advanced spreadsheets and/or databases.
  •  Order office supplies.
  • Keep department chair informed and updated on account activity and balances.
  • Assisting with per-diem payments for Islander Pep Band.

QUALIFICATIONS

  • High School Diploma.
  • Four (4) years administrative support experience.
  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Positive attitude.
  • Ability to work independently and efficiently with minimal supervision.
  • Ability to work in a fast-paced environment.
  • Excellent attention to detail.

PREFERRED QUALIFICATIONS

  • Experience in Banner, Argos, Ad-Astra, IslanderBuy, Laserfiche, and Workday.
  • Two (2) years office management experience.
  • Advanced skills in Publisher and Adobe.
  • University experience.
  • Bachelor’s Degree in a related field.
