The Disability Resources Testing Center is excited to announce an opening for an Administrative Associate III. The selected candidate will be responsible for facilitating test administration, providing front desk coverage, and entering and tracking data. This position requires proficiency in general office skills, digital applications, attention to detail, and the desire to work with college students. We need someone who can effectively communicate and interact with others and can perform well in a fast-paced environment. Moreover, we seek someone who subscribes to the department’s mission and values.

Who we are

Disability Resources (DR) is one of twelve departments under the Division of Student Affairs. The department consists of twenty full-time staff, and 15-20 student employees. Disability Resources staff members interact and collaborate with faculty, staff, and students to achieve an equitable learning environment for students with disabilities at Texas A&M University. The Testing Center (TC) is a service offered to instructors, which provides effective accommodations such as extended testing time, test readers, test scribes, assistive technology, and other approved accommodations to ensure students have equal access to the test-taking process.

Salary: $11.50 to $16.85/Hourly (Commensurate based on hire's experience)

Qualifications

Required Education and Experience:

  • High school graduation or any equivalent combination of education and experience

  • Three years of experience in general office or clerical work

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications

  • Ability to work with sensitive information and maintain confidentiality

  • Strong interpersonal and organizational skills

  • Competency with technology such as computers, telephones, and digital applications

  • Attention to detail, task management, and prioritization skills

Preferred Qualifications:

  • Knowledge of Texas A&M University departments and programs

  • Ability to relate to a variety of people, including those with disabilities

  • Customer service skills

  • Working knowledge of assistive technology

  • Knowledge regarding Higher Education and Student Affairs

  • Knowledge, skills, or understanding of LMS and Zoom video conferencing software

Essential Duties/Tasks:

  • Exam Administration - Utilizes a data management system to track and maintain a daily testing schedule. Reviews and processes exam requests. Assists students with scheduling and sends reminders of upcoming exams. Assists instructors with questions related to scheduling. Obtains and processes exams received from instructors. Composes emails, initiates phone calls, and communicates with testing center staff and student employees. 

  • Front Desk Coverage - Provides front desk coverage such as opening the office in the morning, answering phones, greeting students, and facilitating exam check-in/out process. Enforces time limits and compliance. Informs supervisor of incidents occurring during testing. Proctors and monitors exams via local CCTV or online through web conferencing while complying with directives from faculty and testing center policies. Manages online web conferencing for remote proctoring. Serves as liaison for service contracts. Participates in training of student employees and assigns work to student employees.

  • Following Policies and Procedures - Applies, interprets, and communicates Testing Center policies and procedures. Serves as a resource for answering questions regarding policies. Supports the front desk staff by problem solving issues that may arise. Consults with instructors, supervisors, and other staff as needed. 

  • Data Tracking and Planning - Creates and maintains spreadsheets on the utilization of the Testing Center. Creates reports to assist with planning for overflow space and proctors. Books proctors and overflow space. Maintains office supplies, equipment, and files. Assists staff with special projects such as tracking information and updating data management system.

  • Representation - May have the opportunity to serve on department committees. Completes projects as needed to assist other Disability Resources staff. Participates in professional development. Performs other duties as assigned. Supports university programming and events as needed.
