Job Summary

The Administrative Associate III works under general supervision and provides complex administrative support work to the School of Music.

Essential Duties and Responsibilities

  • Maintains a variety of fiscal, administrative, and academic records for the School of Music and as per National Association of Schools of Music (NASM) standards.

  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies and procedures.

  • Assists in resolving moderately advanced, sensitive, and confidential administrative matters.

  • Develops, evaluates, and ensures adherence to office procedures.

  • Maintains office supplies and equipment. Serves as a liaison for departmental equipment, service contracts, and work orders.

  • Serves as bookkeeper for departmental budgets. Prepares purchase documents, reimbursements, online purchases, including travel, for the School of Music.

  • Oversees payroll processes for the department, including payments, reporting and appointment letters.

  • Creates and maintains spreadsheets and/or databases including Degree Plans, Piano Proficiency Exams, Junior Recitals, Senior Recitals, Graduate Recitals, Student Recitals, Digital Signage, and other items.

  • Prepares Recital and Concert Programs and supervises student recital attendance.

  • Maintains records, verifies, processes, and reviews forms, reports, and other documents related to academic reporting and academic scheduling.

  • Handles all departmental mail services:  Sorting, Distribution, Bulk/Mass Mailings, and Correspondence.

  • May supervise, train, and evaluate the work of other support staff and/or student workers.

Minimum Requirements

Education -High school diploma or equivalent combination of education and experience.
Experience- Three years of experience.
Knowledge, Skills and Abilities -Knowledge of word processing, spreadsheet, and database applications. Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Ability to work with sensitive information and maintain confidentiality. Strong interpersonal and organizational skills.
