The Department of Oceanography in the College of Arts and Sciences at Texas A&M University (TAMU) is part of an alliance of Ocean Sciences at Texas A&M that spans the Marine Biology and Marine Sciences Departments at TAMU Galveston, Geochemical and Environmental Research Group. This alliance of Ocean Sciences represents a truly unique concentration of educational and research resources. Our educational and research capacity is greatly enhanced by close ties to the College Departments of Atmospheric Sciences, Geography, and Geology & Geophysics, as well as the Berg Hughes Center, and Texas Center for Climate Studies.

The Administrative Associate II (Lead Office Assistant) will be responsible for providing advanced office support by assisting business staff, providing departmental customer service, and organizing and maintaining office resources and supplies. What You Need to Know

Salary Range: Compensation will be commensurate to selected hire's experience.

Work Location: Ability to travel locally for events and supplies.

Required Education and Experience:

  • High School Diploma or any equivalent combination of education and experience

  • Two years of experience in general office or clerical work

Require Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others

Physical Requirements:

  • Bending and lifting moderately heavy boxes

Preferred Education and Experience:

  • Associate degree

  • 3+ years of experience in general office or clerical work

Responsibilities:

  • Logging/ Scanning Invoices and Procards: Processes incoming invoices and pro cards. Logging Invoices and Procards into department log. Scans documents to LaserFiche and verifies successful completion of tasks. Files in the reconciliation folder and forwarded to appropriate personnel for processing.

  • Receptionist/ Customer Service: Greets all visitors to the department. Answers the main phone line and directs calls to appropriate personnel. Evaluates and distributes incoming mail, correspondence and inquires. Assists in problem solving for office activities. Orders office supplies and maintains office supply inventory.

  • Travel / Special Events: Assists departmental staff with planning of meetings, seminars and other special events. Provides assistance to faculty by preparing flyers, preparing itineraries and other related functions.

  • Access and Resources: Checks out keys to appropriate staff, students and faculty logging into the department data base. Ordering new keys when necessary. Logs departmental parking passes and departmental credit cards ensuring all appropriate documentation is received when returned. Schedules Oceanography rooms for classes, finals, qualifiers, seminars, group meetings, etc and performs other duties as assigned.
