Job Summary | Under general supervision of the Police Records Manager, performs a variety of police records functions including reviewing, processing police records, while maintaining the integrity and accuracy of all records and data collected from record creation to record retention and destruction, responding to requests for criminal justice records in accordance with federal, state, and local laws and university policies and procedures. It is helpful if this position is familiar with the laws and regulations pertaining to the processing, retention, release, and disposition of police records. It is required to maintain a high level of confidentiality due to the nature of records and information reviewed. This is a position within the University of Utah Police Department that is constantly growing and changing. The ability to be flexible and to grow with the position is preferred. The Chief Safety Officer is the Director of Public Safety responsible for overseeing the University Department of Public Safety, which includes the following operational divisions, University Police, Campus Security, U Health Security, Emergency Management, Community Services, and Emergency Communications and the central administrative Office of the CSO. Responsibilities | • Provides excellent customer service to the public and other agencies by fulfilling requests for background checks, police reports and other record requests in a timely manner to include electronic, mail and walk-ins, etc. and providing information over the phone regarding the record request process. • Responsible for assisting in the maintenance and processing of police records, subpoenas, and criminal history requests; reviewing police records for accuracy and for compliance with state and federal statutory reporting requirements. • Expunges and purges records according to court order and/or state law. • Files and maintains all police records in accordance with departmental and legal requirements. • May assist leadership and managers, as assigned, with general administrative tasks. • Other duties as assigned. Work Environment and Level of Frequency typically required Nearly Continuously: Office environment. Physical Requirements and Level of Frequency that may be required Nearly Continuously: Sitting, hearing, listening, talking. Often: Repetitive hand motion (such as typing), walking. Seldom: Bending, reaching overhead. Minimum Qualifications | Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred. Preferences | • Experience working with a police records management system (Spillman). • Experience working in a police records department. • Knowledge of all legal documents pertaining to the criminal justice system. • Knowledge of police terminology, forms and records. • Knowledge of UCJIS (Utah Criminal Justice Information System). |
