The Opportunity:

The School of Visual Arts and Design (SVAD) at the University of Central Florida (UCF) is searching for an Administrative Assistant I for the SVAD administrative office. The Administrative Assistant I assist with the day-to-day operations of the administrative office by answering the phones, greeting/referring/assisting visitors. This position also provides support and back-up for duties related to the undergraduate and graduate programs, including but not limited to, portfolio coordination, course scheduling, curriculum, textbook orders, syllabus collection and reviews, and updating various data used for internal and external reports.

Responsibilities:

  • Staff the SVAD front desk, greet all visitors, answers phones, respond to email inquires.

  • Assist faculty, students and staff.

  • Provide administrative support for activities related to scheduling, curriculum, textbook orders, syllabus collection and various reports.

  • Assist and serve as back-up to for Graduate and Undergraduate responsibilities including, but not limited to assisting in clerical duties for all SVAD graduate programs.

  • Assist in creating and updating graduate assistantships on GradInfo; Graduate eFORM originator, submitting forms for course moves, course substitutions, graduate plan of study.

  • Processes restricted registration forms, thesis advisory committee forms.

  • Assists in inputting admission decisions on SLATE.

  • Schedule and coordinate tours for prospective SVAD students, prepare materials.

  • Monitor SVAD websites.

  • Assist with SVAD events as needed.

  • Perform clerical tasks as needed which includes: copying, scanning, faxing, data entry, reserving SVAD conference room, submitting Facilities/IT work orders, and serve as back up to current SVAD administrative staff.

Minimum Qualifications:

High School Diploma or Equivalent and 0+ years of relevant experience Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • Experience using Outlook, Word, Excel, Powerpoint.

  • Experience working in a school or higher education environment.

  • Strong verbal and written communication skills.

  • Ability to organize, multi-task, and prioritize to ensure timely completion of work.

  • Some knowledge of Workday and Peoplesoft a plus.
