Description

The Administrative and Communications Assistant is a multifaceted temporary position responsible for supporting CTEC’s administrative and communication needs.  


Core Responsibilities:

1. Payroll Tracking: Diligently monitor and track payroll, ensuring accurate processing and compliance with organizational/funder policies and legal requirements. Ensure correct EDORA is billed for staff time. 

2. Grant Research and Sourcing: Actively research and source potential grants using open source databases, assisting in the application process by gathering necessary information and documentation. 

3. Website Redesign: Collaborate with relevant teams to assist in the redesign of the organization's website, ensuring a user-friendly and aesthetically pleasing interface. 

4. Email Inbox Management: Efficiently monitor and manage the organization's email inbox, ensuring timely responses and appropriate forwarding of queries and information. 

5. Travel and Conference Logistics: Provide logistical support for travel and conference arrangements for spring 2024, including bookings, itineraries, and coordination of materials and equipment. 

6. Communications Management: Oversee basic communication tasks, including drafting and distributing the newsletter and managing social media posts to engage with our community and stakeholders. 

7. Executive assistance: Assist the Executive Director in her duties as needed, and if necessary, provide support to the RADI and SPI directors. 


Requirements
Position Prerequisites:

 Qualifications: 

- Proven experience in administrative roles 

- Strong organizational skills with the ability to manage multiple tasks simultaneously. 

- Excellent written and verbal communication skills. 

- Proficiency in or willingness to learn digital tools and platforms relevant to the role (e.g., payroll software, social media platforms, website management tools). 

- Ability to work independently and as part of a team.
