Position Summary | The Department of Dermatology is seeking an enthusiastic individual to join our team as an Administrative Assistant 3. We are a fast-growing and diverse department within the School of Medicine. We provide excellent education and support to our residents, faculty, medical students and our community. The Administrative Assistant 3 will serve as administrative support for the department’s faculty, residents and administrative team. Tasks will include scheduling various internal/external meetings, purchasing, serving as a P-Card holder, processing reimbursements, assisting with clinical scheduling, helping with event coordination set-up/breakdown (conferences, community events), and other duties as assigned. The individual selected for this role will be able to communicate with a variety of team members each day, keep a variety of tasks organized and prioritized, and will be an essential member of a busy, exciting department. This individual will also assist in most aspects of the medical education and residency program. Responsibilities include coordinating weekly Grand Rounds programming, including scheduling guest speakers, creating and distributing announcements and marketing materials, developing itineraries and steering related logistics. Our residency program is central to our department and attention to detail is vital in helping support it. The individual in this position is a key member of the educational team. They will be responsible for helping create and track evaluations, clinical and leave schedules, resident funds, and interview days materials, among other residency-related duties and materials. Additional medical education-related duties include helping to schedule internal and external rotator students, and maintaining educational cosmetic inventories. This position requires an individual who has strong attention to detail, excellent communications skills, is a self-starter, and can work effectively as a member of a team and as an individual. An ability to set and manage priorities, adapt to change and last-minute work assignments and knowledge of policies and procedures in working with confidential files/records is essential. Minimum Qualifications | High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. |
