Position Summary

The position will provide administrative assistance to include reception duties, outcomes assessment, assisting the Graduate Director with admissions and other graduate program processes. Attending monthly meetings, scheduling (classes, rooms and meetings), managing supply orders and annual inventory. Oversees student employees, placing work orders, sort and distributing mail. Deals with confidential information, file management, and website updates. Keeping and disseminating minutes for faculty meetings, processing travel requests and reimbursements. Manages P card and reconciliation in Chrome River and providing general administrative support. 
The successful candidate must also have the ability to be trained in Microsoft Excel and Outlook (which includes calendaring) as well as other UNM systems including Banner, Chrome River, and others. Have the ability to understand and enforce UNM Policies and Procedures and serve as a Campus Security Authority as outlined by the Clery Act. 

Performs a variety of administrative and staff support duties for a specified unit/department, which require a range of skills and a knowledge of organizational policies and procedures. Assists and directs visitors, resolves administrative problems and inquiries. Composes, edits, and proofreads correspondence and reports. Prepares a range of administrative documents. Must have experience using Microsoft Word.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Strong time management and organizational skills;
Strong verbal and written communication skills as demonstrated within the applicant’s Cover Letter, Resume, and possible interview;
Willingness to work with other departments on basic administrative and operational matters.
